The Real Estate Council of Ontario (RECO) is seeking an Administrative Clerk in Client Services. We have 1 (one) contractposition for 12 months available to start immediately.

The role
Under the direction of the Support Supervisor, the Administrative Clerk is the first contact and first impression to RECO for registrants and members of the public and performs a variety of clerical and administrative tasks in support of the department/team members. When not working remotely, the Administrative Clerk welcomes visitors to RECO; directs them to the appropriate person or department; answers and forwards over-flow telephone calls from CSS1; takes messages; schedules meeting room booking.
This role primarily provides administrative support to the Client Services department, including:
- typing correspondence, photocopying, scanning, faxing and outgoing courier processing, and may assist other departments.
- The Administrative Assistant aids in the efficient day-to-day operation of the Client Services department and the achievement of RECO’s organizational goals, ensuring high quality and service standards are maintained.
Position responsibilities
- Sort various documents before forwarding to RECO processing systems and mail.
- Follow-up on returned mail outs of 60-day notices, certificates and letters.
- Receive all incoming mail, sort, date stamp and distribute.
- Receive all incoming faxes, sort and distribute.
- Process outgoing mail using folding and postage machines and deliver to postal box.
- Enter mail items specifically addressed to an individual RECO staff person in the daily mail log.
- Make copies of all CPICs received, mail log and scan in daily batches.
- Responsible for creating a professional first impression of RECO to visitors by providing efficient, courteous and personalized service, including:
- Manage and monitor front desk and reception area at all times, ensuring it is maintained tidy and presentable.
- Answer and direct incoming calls in a prompt, professional and courteous manner, providing information to callers when required.
- Take and relay messages.
- Meet and greet all visitors to the office, communicating confidently and professionally.
- Keep track of visitors via the Visitor Log, assign ID pass and ensure sign-out procedures are followed.
- Use professionalism and good judgement when security issues arise or when visitors arrive at Reception.
Qualifications and experience
- Three (3) to Five (5) years in an Administrative Role.
- Post Secondary Diploma in Office Administration.
- Good analytical and problem-solving skills
- Excellent oral and written communication skills.
- Experienced and comfortable in dealing with the public.
- Strong organizational skills, poise under pressure and flexibility in work assignments
- Competent computer skills including intermediate use of Microsoft Office Products.
- Demonstrate a high degree of confidentiality.
- Ability to use discretion and independent judgment when dealing with issues.
- The ability to acquire a general understanding of the Real Estate and Business Brokers Act
