The Food Services department provides food service to the diverse Campus Community with over twenty (self-operated locations and thirteen food service partners across the St. George Campus. The department serves the needs of over 65,000 students, and Faculty and staff. **Your opportunity**:
The Food Services department is a group with a strong focus on service excellence, and, with an emphasis on achieving operational and financial performance expectations within the parameters set forth. The department is hiring a permanent, full-time Administrative Officer to meet and support the varied administrative needs of the department.

Under supervision of the Director, Retail and Residence Dining, the Administrative Officer provides support to the department and its various business areas, including Retail and Residence Operations and Catering and Event Services. The incumbent provides administrative support to leaders and managers by way of organizing and disseminating reports, information, and strategic communication necessary to meet the objectives of the department. The Administrative Officer is a key member of the Food Services team.

**Your responsibilities will include**:

- Acting as the first point of contact for general enquiries and redirecting as appropriate to various departments within Food Services
- Resolving issues within the scope of the role and escalating problems as required
- Maintaining filing system and information on digital platforms
- Writing routine documents and correspondence and editing content for style and tone
- Formatting data collected for presentations and reports
- Maintaining information on digital platforms and editing content for brochures, newsletters, websites and/or handbooks
- Providing orientation to others on work procedure and practices, and serving as a resource to others by providing (non-supervisory) job-related guidance
- Obtaining required authorization and signatures, to process financial documents and recording expenses on a single account

**Essential Qualifications**:

- Advanced College Diploma (3 years) or acceptable combination of equivalent experience.
- Minimum three (3) years experience in an administrative role supporting multiple business units, preferably in a large institutional environment, or post-secondary institution
- Progressive experience writing routine documents and correspondence, along with editing content for style and tone
- Demonstrated experience maintaining effective office systems, such as creating, organizing and maintaining digital and paper filing systems
- Demonstrated experience collating data and disseminating information
- Well versed in formatting agendas, taking minutes efficiently and recording action items in meetings, etc.
- Intermediate proficiency with MS Office 365 suite (Word, Excel, PowerPoint, OneDrive, SharePoint, etc.)
- Ability to multi-task and deal with competing deadlines effectively and deliver results within initiative and flexibility; and strong time management skills
- Professional demeanor, with a strong service orientation and effective interpersonal skills to effectively engage with internal and external contacts to find effective resolutions to complicated situations
