**Receptionist and Administrative Assistant**

**_Monday thru Friday 8 am-5 pm, Saturdays 9:30 am -2:00 pm_**

**Receptionist**
- Greet College guests in a polite, congenial, and happy demeanour at all times
- File documents
- Input and track student attendance

**Administration**
- Secure classrooms after classes are done each day and ensure doors are locked up.
- Generate monthly reports for management:

- Student Information collection sheet - summarize results
- Outreach tracking monthly - record and submit a report - spreadsheet
- Clinic vacancy monthly - record and submit a report - spreadsheet
- Coordinate, schedule and notify staff of guest speakers per program

**Handling Cash**
- Create & process invoices for clinic appointments, student registration, Intro Sessions, redeem Groupon vouchers, process lotion and small item sales
- Process cash, cheque and credit card transactions within college guidelines, via the POS system, balance monies, reporting any discrepancies to the Controller
- Responsible for the security of all cash, safes, bills and keys kept at Reception when on duty
- Identify and document all complimentary promotional vouchers each day & forward them to Controller

**Clerical**
- Prepare policy manuals, Orientation information, Tools for Success - bind booklets
- Making photocopies and print curriculum and marketing literature as required
- Assist with marketing brochures, maintain inventory/supply of program packages for Recruiters
- Take student pictures and make student cards
- Generate meeting minutes, reports, correspondence, letters, policies, procedures, etc.
- File various documents
- Review 8.5 x 11 information sheets and program info packages and update as required

**Clinic**
- Process clinic clients while providing them with a high standard of customer care at all times, being helpful, polite, courteous and friendly.
- Schedule clients in a nameless and faceless manner. The College does not take student therapist requests. Maintain schedule additions and deletions
- Draw clinic surveys monthly and award free massage to those individuals - document info on the Summary sheet
- Communicate with the clinic supervisor to reschedule changes, student issues or absences, etc.
- Liaise with Clinic RMT Supervisor and Team leader for clinic supplies and records as required
- Maintain Clinic survey reports - submit the same every month
- Assist in the setup of outreach events
- Make follow-up phone calls to all new clients after the first visit for feedback and to encourage them to rebook.
- Post weekly on-call, team leader and Saturday schedule
- Count linens as they arrive
- Track student absences missed shifts, and makeup shifts - track and file Dr's notes for clinic absences

**Outreach**
- Create a sign-up sheet for each Outreach and post these in the Student Lounge. Contact sites to schedule 12-16 outreaches (time, location, category, etc.) each month. Generally performed 2-3 months in advance of the current month’s schedule. Update the summary spreadsheet with completed outreaches every month, and submit the same.
- Contact and schedule supervisors pre-Outreach postings and post Outreach to collect / track attendance and record issues.
- Maintain the content of outreach supply bags - attendance sheets, waiver forms, cleaning supplies, etc.

**Requirements/Qualifications**:
This job description is not to be misconstrued as fixed or exhaustive as you will be expected to perform other related employment tasks as assigned by the Campus Director. This position provides administrative support to Administration and Academics.
- Diploma or degree in general business administration
- Excellent Word processing and spreadsheet experience - Assessment required
- Excellent communication skills

**Work Environment**:
The College is a public facility. Individuals are exposed to several people daily; contact with faculty, staff, students, clinic clients, and community members. Exposure to computer screens, electronic equipment, and common office noise.
