**The Role**

Versaterm has an immediate opening for a Security Administrator specialist to join them onsite in their Ottawa office. The Security Administrator is a trusted business partner who is responsible for conducting and maintaining employee background checks and client security clearances. This is a crucial role that contributes to the provision of a safe and secure working environment and supports the company's commitment to facilitate our client's security requirements.

Through oversight of background and security checks, the individual minimizes the opportunity for fraud, misconduct, and identity theft by confirming the validity of prospective and current employee criminal records, education, employment history, and other aspects of their backgrounds.

**What You'll Do**
- Document standard operating procedures for obtaining background checks and security clearances
- Maintain a calendar (spreadsheet) to track clearance status
- Establish, streamline, and maintain a notification system to support the renewal of clearances and refresh of background checks.
- Process security clearances for new employees
- Process and manage client security clearances as required
- Track all clearances, document what has been submitted, follow-up and notify employees when cleared
- Ensure all employees are up to date on CJIS Online Security Awareness Certification (every 2 years)
- Ensure all employees are up to date on Sterling BackCheck clearance (every 2 years)
- Ensure all employees are up to date on PWGSC clearance (per renewal date)
- Notify required customers of employee departures to initiate cancellation of site clearances
- Provide recommendations for continuous improvements to the screening process
- Ensure related information and files are properly safeguarded and only those with a legitimate business need have access to these files
- Maintain physical and electronic records

**What You'll Bring**
- Three to five years of administrative or related experience
- Experience working with sensitive information
- Eligible to obtain Enhanced reliability security clearance (past 5 years in Canada)
- Computer skills with high proficiency in Microsoft Outlook, Excel, Word, Adobe PDF, and DocuSign
- Diligent with the ability to follow rigorous procedures
- High level of integrity and discretion in handling confidential information
- Strong relationship-building skills to support new hires and business partners
- Ability to effectively collaborate with internal stakeholders
- Clear and succinct communication skills to articulate needed information
- Thorough, well organized with excellent time and task management ability
- Intense focus on accuracy and attention to detail
- Experience in gathering and reviewing background information
- Ability to make recommendations concerning the viability of clearance
- Ability to document processes, report findings, and protect sensitive information
- Self-directed with the ability to work independently
- Ability to communicate effectively
