**Department summary**

The Faculty of Engineering at the University of Alberta is a leading educational innovator. Its nine programs are accredited by the Canadian Engineering Accreditation Board (CEAB) and consists of four departments and an additional department jointly administered with the Faculty of Medicine and Dentistry. Currently, it has over 200 Faculty Members, 4,500 undergraduate students and 1,600 graduate students, which makes the Faculty of Engineering one of the largest graduate programs on campus. By size, this makes it within the top 5% of Engineering Faculties in North America and one of the largest Faculties at the University of Alberta (3rd largest by undergraduate students, 4th largest by FTE professoriate, largest by graduate students). **Position summary**

Reporting to the Faculty General Manager, the Executive Coordinator to the Dean is responsible for high level executive support for the Dean and Vice Dean. The EA plays a critical advisory role to faculty and staff, and participates in various working groups. This position provides day-to-day expertise, support, and guidance to ensure the coordination, monitoring, and execution of executive administration and tactical initiatives in the Office of the Dean of Engineering. This position takes on special projects as required by the Dean, as various initiatives are undertaken. This includes consulting with various internal and external stakeholders to achieve specific goals for the Dean’s office and the Dean.This position has significant interaction with high profile community members (including donors, alumni and industry executives) as well as executive leadership in the Dean’s office, support staff within senior leadership portfolios both within the faculty and across campus (College and VPs offices)

**Duties**

**Executive Administration**
- Administers, monitors, and controls executive administrative processes:

- Defines and maintains related documents and structures.
- Develops, implements, and optimizes related workflow processes.
- Applies knowledge of University administrative infrastructure, systems, policies, and procedures to resolve issues and problems.
- Ensures compliance with University policies and procedures.
- Develops and implements procedural materials related to academic administration for administrative staff, and monitors to ensure compliance.
- Identifies and removes obstacles to improve work processes and alleviate resource constraints. This includes assigning or delegating work or issues to other administrative staff for action.
- Coordinates, participates, and documents progress meetings with stakeholders.
- May acts as the recording secretary for area/program meetings. Follows up and reports on the progress of action items.
- Researches, compiles, and summarizes information for inclusion in reports or presentation materials. Prepares reports, charts, graphs, or tables.
