The Negotiation Coordinator is a critical member of the highly skilled team that delivers end-to end administrative support for our collective agreements and the broader negotiations process. They will work in close partnership with our sector service teams to provide effective administrative support for the negotiations process through the preparation, distribution and retention of a wide range of correspondence and documentation. They will also be responsible to provide administrative support for all aspects of the interest arbitration process.

**DUTIES AND RESPONSIBILITIES**:

- Responsible to prepare and send notice to bargain, conciliation, no-board and other bargaining related forms and correspondence.
- Monitors and archives the progress of the negotiations process to ensure that timelines and deadlines are met.
- Assists the negotiation process through the preparation and distribution of a wide range of correspondence and documentation related to the collective bargaining process.
- Responds to information requests from internal stakeholders and members by locating information associated collective bargaining process from files or information systems.
- Respond to calls, in person or electronic inquires and/or forward to the appropriate person.
- Photocopies and collates collective bargaining related documents for distribution, mailing and filing as required.
- Sends and receives various correspondence, messages and documents using fax machine or electronic mail.
- Maintains records of correspondence and files of negotiation related activities.
- Provides administrative support and document preparation for all interest arbitration cases.
- Maintains records and provides administrative support for the central administration for all new certificates from the Ontario Labor Relations Board and the overall negotiation history for each bargaining unit.
- Handle scheduling function of Interest Arbitrations with Legal Consultant and liaise with Director of Research & Sectors
- Manage database and catalogue Rights Arbitration Hearing Notices
- Monitors and updates retirement homes/LTC database for new builds, ownership transfers, new licensees, through government databases.
- Sends reminders to reps for intake files & internal researcher reminders (3 months before hearing & interest arb disclosure)
- Attend all research department meeting and takes minutes
- Cross-train support for Collective Agreement drafting
- Handle all data entry required of the research department & ad-hoc research department related tasks
- Provides support to the Collective Agreement Coordinator when needed.
- Other duties as assigned.

**EDUCATION**

**GENERAL REQUIREMENTS**
- Five (5) or more years of experience as a Secretary/Administrative Assistant in a unionized Environment

**SKILLS & COMPETENCIES REQUIRED**:

- Ability to effectively type, transcribe and perform other word processing functions using
- Microsoft Word.
- Ability to work independently and cooperatively with others in a team environment.
- High degree of initiative, good judgment, good organizational skills and the ability to work under strict deadlines.
- Ability to determine priorities and problem solve with minimum supervision.
- Proficient spoken and written English and communication skills.
- Good knowledge of the organization, functions and policies of SEIU Healthcare, in particularly, the collective bargaining process.

**PHYSICAL DEMANDS/ WORKING CONDITIONS / ENVIRONMENT**
- Office work can include prolonged periods of sitting at a work station and certain repetitive movements associated with such work.
- Using a computer for long periods of time.
- Frequent use of telephone.
- Lifting and moving supplies and materials up to 25lbs.
