**Banquet Manager/ Events Coordinator**

**Summary**

**The Banquet Manager position is responsible for booking and coordinating Banquets and reservations throughout the building. They will assist with events run by our Board of Directors, club members, organizations and our guests. They will have knowledge of Events Management and be able to assist with the daily operations of our Restaurant as well as the Banquet Hall. They will have a hand in assisting in our yearly Oktoberfest as well as the day to day operations of our unique establishment.**

**Duties**:
Duties of the Banquet Manager will include but are not limited to:
Run daily reports on our POS system as well as our hand held Debit machines

Preparing floats for our Bartenders and Banquet events

Updating our POS system with Daily Specials and Special promo’s

Selling & booking Meetings, Parties, Banquets and dinners all throughout our facility

Create banquet & event contracts to include detailed information as it relates to the agenda, menu items, floor plan, billing and any additional information

Coordinate and plan group's food and beverage, including assistance with menu and wine selection;
Help guests to facilitate decor, entertainment, and other vendors

Communicate with Management, Front office and reservations in order to coordinate and monitor guest room blocks and special reservation needs.

Establish rapport and set up meetings with guests throughout all aspects of the booking process

Assist our team in promoting our Club in developing leads and securing repeat business.

Review all events contract invoices in a timely matter and ensure accuracy

Follow up with Guest following the event to thank and request feedback

Create Weekly & Monthly Schedules for our Restaurant & Banquet Staff

Supervision of preparations and set up for functions throughout the facility as well as maintaining the event runs smoothly this will be alternately with our Club Manager

Planning participation in Wedding Shows and organizing Our Annual Club Wedding Show

Communicate effectively and concisely with clients and with internal departments.

**Oktoberfest Duties**:
Organizing and handling of all arrangements of Luncheon Bus tours & other special group request

Handling all reservations

Setting up staffing & scheduling for the restaurant and some Oktoberfest departments

Assisting Administrative Assistant / Office staff in Oktoberfest organization & preparations

**SKILLS AND ABILITIES**:

- Organized, able to multi-task and perform in a high paced environment, with competing priorities.
- Must have excellent verbal and written communication skills.
- Proficient in Microsoft Office; knowledge of Excel and General computer skills is a MUST
- Team spirit, can-do attitude
- Creative and solutions oriented
- Works effectively with internal and external guests.
- Presents a professional appearance and manner
- Strong oral and written communications, with attention to detail.
- Leadership ability
- Ability and willingness to work flexible hours on weekends, evenings in addition to office hours
- Ability to work well with all levels of management, executive leadership as well as employees
- Knowledge of Food & Beverage Software a MUST
