Job Summary:
**Duties**:
Drafting leases, data entry, and record keeping:
- Maintain organized and up-to-date records, both physical and digital, to ensure easy access and retrieval of information.
- Prepare leases and draft contracts based on existing templates in accordance with company policies and legal requirements
- Ensure accuracy and completeness of lease agreements and contracts prior to execution
- Customize lease terms and contract clauses as necessary to meet specific tenant or client needs
- Collaborate with legal team or relevant stakeholders to review and approve lease documents
- Maintain organized records of all lease agreements and contracts for easy reference and retrieval
- Facilitate timely execution of leases and contracts, ensuring adherence to deadlines
- Provide guidance and support to tenants or clients regarding lease terms and contract provisions as needed
Payment resolution:
- Efficiently collect past due rents from tenants in a timely manner
- Implement effective follow-up procedures for missed bill payments
- Maintain accurate records of all communications and transactions related to rent collection and bill payments
- Utilize communication skills to engage with tenants and facilitate resolution of payment issues
- Coordinate with property management team to address any outstanding payment concerns promptly
- Stay updated on relevant laws and regulations pertaining to rent collection and bill payments
- Proactively identify potential payment issues and implement strategies to prevent future delinquencies
- Provide exceptional customer service while enforcing payment policies and procedures
Communications support:
- Assist with internal and external communications, including responding to inquiries and maintaining accurate contact lists.
Finance and Administration support:
- accurately record financial transactions in our accounting software, ensuring completeness and accuracy.
- Support monthly bank reconciliations to ensure that our financial records match bank statements.
- Assist in the preparation and analysis of financial reports, including income statements and balance sheets, GST, QST reporting.
- Assist in the analysis of data related to property performance and financial trends to support decision-making.
- Administrative duties: Provide general administrative support to management as required, including filing, scheduling meetings and coordinating submissions.
**Requirements and comptencies**:
Education or training in Finance, Accounting, Business Administration, or related field
Minimum 2 years in financial administration or accounting roles
Proficiency in accounting software for accurate transaction recording
Strong organizational skills for administrative tasks
Attention to detail and accuracy in financial record-keeping
Proactive problem-solving ability
Strong written and verbal communication skills
Experience in data entry and record-keeping
Bilingual
