**Administrative Assistant Duties**

**Office Organization**:

- Maintain office supplies and inventory.
- Keep records organized and accessible.
- File and retrieve documents, both physical and digital

- Answer and direct phone calls.
- Act as a point of contact for internal and external stakeholders.
- **Scheduling and Coordination**:

- Schedule and organize meetings, appointments, and events.
- Arrange travel and accommodations for staff or executives.
- Manage calendars and ensure timely follow-ups.
- **Document Preparation**:

- Prepare reports, presentations, and correspondence.
- Proofread and edit documents for accuracy.
- Create spreadsheets and update databases.
- **Support to Teams or Leadership**:

- Assist executives or managers with administrative tasks.
- Handle confidential and sensitive information with discretion.
- Provide general office support for staff.
- **Customer and Client Interaction**:

- Greet visitors and manage the front desk
- Handle client or customer inquiries professionally.
- **Event and Project Assistance**:

- Coordinate logistics for meetings and special events.
- Assist in planning and executing office initiatives or projects.
- **Other General Tasks**:

- Conduct basic research as required.
- **Inspection**:

- Inspect goods for damages or discrepancies upon receipt.
- Verify shipment accuracy against purchase orders or packing lists.

**Inventory Management**:

- **Organization**:

- Place materials and products in proper storage locations.
- Maintain an organized and clean warehouse.
- **Stock Control**:

- Perform inventory counts and reconcile discrepancies.
- Monitor inventory levels and report shortages.

**Order Fulfillment**:

- **Picking and Packing**:

- Locate and pick products from storage for orders.
- Pack and label items for shipping.
- **Documentation**:

- Prepare shipping labels, bills of lading, and other paperwork.
- Record incoming and outgoing goods in inventory systems.

**Equipment Operation**:

- **Material Handling**:

- Operate forklifts, pallet jacks, or other warehouse equipment safely.
- Move heavy items as needed while adhering to safety guidelines.

**Safety and Maintenance**:

- **Compliance**:

- Follow safety procedures and regulations (e.g., OSHA standards).
- Wear required personal protective equipment (PPE).
- **Facility Upkeep**:

- Keep aisles and workspaces free of hazards.
- Conduct regular equipment checks and report malfunctions.

**Team Collaboration**:

- **Support**:

- Assist with other tasks as needed, such as assembling products or kitting.
- Work closely with other team members and supervisors to meet deadlines.

**Skills**
- Strong administrative skills with a focus on organization and attention to detail.
- Proficiency in Microsoft Word, Excel, and PowerPoint
- Previous experience as an administrative assistance and warehouse associate experience are preferred.
- Excellent customer service skills with the ability to communicate clearly and professionally.
- Ability to manage multiple tasks while maintaining a high level of accuracy.
- Familiarity with computerized filing systems and basic clerical functions.
- Exeprience in QuickBooks is an asset
