**About the Role**:
The Assistant Property Manager is responsible for being the first form of verification of compliance and resident-related inspections by staff. This includes reports and inspections around maintenance, safety, cleanliness, and security of all buildings in designated campuses. A high degree of focus on Building Maintenance, Compliance, Life Safety processes, and related documentation is required for success in this position.

**Main Responsibilities**:

- Resident Relationships & Information Management_
- Maintain strong relationships with residents to reflect superior customer service.
- Ensure prompt service to residents and prospective residents.
- Reasonably enforce the landlord’s rules and regulations.
- Promote resident retention by communicating effectively with existing residents and ensure, in close cooperation with the Property Management team, that resident issues are dealt with.
- Maintain the privacy and confidentiality of all resident information.
- Building Maintenance and Compliance_
- Complete weekly, monthly, and annual Building walks and checklists as outlined in Old Oak SOPs.
- Review and sign off on daily, weekly, and monthly inspections that have been completed by Site Maintenance Techs per our Monthly Calendar.
- Regularly meet with and inspect work being completed by the Preventative Maintenance contractors.
- Participate in the Joint Health and Safety Committee, acting as a management representative; oversee training and participate in monthly H&S walks at all sites, in addition to the scheduled JHSC meetings.
- Review and provide recommendations for changes or enhancements to Preventative Maintenance contracts.
- Conduct semi-annual inspection walks with all large equipment contractors (HVAC, Plumbing, Electrical, BAS, etc.) to develop and maintain records on the life cycle of this large equipment for consideration in annual budget preparation.
- Keep the Property Manager informed about any significant expense requirements that will impact monthly budgets and provide input into monthly variance reporting as applicable.
- Ensure requested work is completed to Old Oak standards, prior to invoice approval
- Review requirements for specialized contractors and large project (Capital) work with Property Manager prior to approval. Once approved, coordinate and oversee the completion of the project.
- Ensure that all urgent repairs or hazards are promptly resolved, following up as necessary to ensure the completion and quality of repairs performed.
- Leadership & Coaching_
- Lead, supervise, and support the Building Superintendents with a collaborative approach to ensure team cohesion, effectiveness, engagement, and communication.
- Monitor cleaning standards of campus through daily inspections to ensure they meet Old Oak standards.
- Administration & Old Oak Experience_
- Ensure requested work is completed to Old Oak standards, prior to invoice approval
- Follow Health & Safety guidelines including WHMIS
- Maintain a positive relationship with co-workers, contractors, and residents.
- Establish, maintain, and promote excellent relations with all internal and external customers (residents and Old Oak employees), contractors, and trades.
- Embody the Old Oak Vision and Values in every action.
- Other duties as required.

**Qualifications**:

- Education_
- Diploma or Degree in any program within a related field preferred.
- Property Management designation(s) preferred.
- Experience_
- Two (2) years of experience in Property Management or directly related field required.
- Two (2) years of direct management experience required.
- Skills and Abilities:_
- Able to actively support Old Oak’s Values and Code of Conduct & Care.
- Motivated to learn and grow within their role, willing to take initiative, and consistently look for improvement in existing processes.
- Strong attention to detail.
- Proficient in the English language, demonstrated in both written and oral communication. _Proficiency in other language(s) is appreciated, but not required for the role._
- Able to work both independently and in a team-based setting.
- Able to plan accordingly, remain organized, and balance shifting goals and deadlines as needed.
- Demonstrate sound judgment and decision-making competencies while in the workplace.
