**Office Administration**
- perform all general reception and office duties
- Record minutes for meetings and transcribe
- Book hotel accommodations and car rentals as required
- Receive and process mail
- Maintain a membership list
- Book board rooms as needed
- Process requests for materials and resources
- Oversee storage room and order supplies as necessary
- Ensure photocopier supplies are ordered and in stock
- Monitor inventory of resources
- Order supplies for meetings
- Maintaining print and electronic filing systems
- Assist the Management team with administrative tasks
- Ensure all receipts and bills are collected
- Ensure reporting timelines are met and data is collected for monthly reporting

**Events Coordination**
- Assist the Marketing Director with annual events
- Assist with registration and requested tasks at events

**Fund Development**
- As directed, assist with seeking new sources of funding through grant proposals,

presentations, direct mail appeals, and face-to-face asks.
- Assist in researching organizations including Trusts, Companies and Foundations

with an interest in FASD

Additional Responsibilities
- Contribute to board reports, annual reports and other documents as directed by

the Executive Director or Management team.
- Respond to calls on the toll-free line, make referrals and take action as necessary.
- Other related duties as assigned by the Executive Director (proposals, research,

reports, public relations, etc.)
- Assist with organizational correspondence as directed

*Knowledge of budgets and financials is an asset

**Required Skills &Qualifications**
- Self-motivated and high attention to detail is absolutely essential in this position
- Ability to problem solve
- Ability to operate in a fast-paced environment with multiple simultaneous

assignments while meeting deadlines with mínimal supervision
- Strong time management skills
- Previous experience in an office environment and completion of an Office

Administration course are all considered assets for this position
- An excellent attitude and willingness to learn

**Salary**: From $20.00 per hour

Expected hours: 37.5 per week
