**Responsibilities**:
The Human Resource Assistant (FT Western Student III) will provide administrative support to the Faculty Affairs Coordinator, Administrative Coordinator, and Director of Administration for the lifecycle of human resource and (some) financial deliverables for full and part-time faculty, staff, and student positions. Under the direction of the Director of Administration and/or Administrative Coordinator, the role will support a wide range of HR and financial processes in a very busy academic environment. The role will be exposed to numerous collective agreement processes and involved in recruitment, orientation, and HR and financial management deliverables.
Key Responsibilities:
- timely and accurate administration of employment contract requests and associated processes through various systems
- disseminating information and answering questions related to employment and Western-specific policies and practices
- assistance with new employee orientation information dissemination and events
- review and creation of Standard Operating Procedures (SOPs) for HR-related processes
- processing graduate student and USRI student appointment notices and contracts
- paperwork and data keeping associated with collective agreement processes (including performance review, workload, promotion and tenure, etc.,)
- the creation and review of honourariums, NCNERs, pay requisitions, (some) payroll, etc.,
- expense report and professional development allowance submission reconciliation and policy clarification
- tracking of applicant qualifications in spreadsheets and other systems
- adhering to and counselling others on Western HR and financial policies and procedures
- evaluating employee expense reports for accuracy and adherence to policies
- participation in the creation and review of new staff orientation materials, strategies, and events
- filing and data entry related to HR and Finance opportunities to be part of interviews and hiring committees will be provided as available
**Qualifications**:
**Education**:
- Enrollment in Western’s Continuing Studies Diploma in Human Resources Program
- Minimum 2 years of college or university
**Experience**:
- 1+ year of work experience (administration preferred) is preferred
- Experience in an academic environment is beneficial but not required
- Skills, Abilities & Expertise:
- Written and verbal communication skills to express ideas clearly, and adapt communication style to suit the situation and audience
- Ability to maintain a positive, outgoing attitude with genuine customer service orientation
- Reliable and dependable with the ability to consistently work assigned schedule
- Ability to follow detailed and/or complex processes and practices with high attention to detail
- Demonstrates integrity and works in accordance with Western¿s policies and procedures
- Ability to multi-task and maintain an organized work environment
- Computer skills with Microsoft Office, with the ability to learn and use new software programs as required
- Personable and courteous in working relationships with colleagues, students and the public
- Ability to prioritize and organize a fluctuating work load
- Ability to work independently and effectively as a member of the team to achieve department goals
- Ability to work in a manner that is compliant with confidentiality requirements as applicable
