**Position Summary**:
Reporting to the Manager, Corporate Services, the Corporate Services Coordinator provides administrative support to the Corporate Services teams including Corporate Services, Information Technology and Finance and the Chief Finance Officer.

**Key Responsibilities**:

- Preparing documents (e.g. contracts, reports, briefing notes and presentation slide decks) in a professional form, ensuring they adhere to the current Health Research BC style guide
- Managing the calendar, booking business travel, and preparing expense claims for the Chief Financial Officer
- Supporting communication activities including and managing the department intranet pages.
- Scheduling and supporting in-person and virtual meetings, including maintaining an updated agenda; tracking action items and deliverables and preparing meeting minutes when required
- Issuing complete and accurate official receipts for donations that qualify as gifts to Health Research BC
- Supporting contracts life cycle by:

- Administering contracts exempted from review in CLMS to signature and execution
- Tracking and reporting key dates to contract sponsors and reviewers
- Conducting bank deposits
- 2+ years administrative experience
- Diploma in office administration or relevant study, or a combination of education, training and experience
- Work experience in a not-for-profit, research, health care or educational setting is an asset
- Strong computer literacy, including full competency in Microsoft Office Word, Outlook, Teams, SharePoint, and PowerPoint. Basic working knowledge of Excel, Visio and DocuSign is an asset.
- Confident user of online meeting and collaboration tools (e.g., Zoom, Teams)
- Strong verbal and written and electronic communication skills with an ability to efficiently and accurately produce documents
- Highly organized, attentive to detail and accountable with abilities to identify and manage priorities
- Self-directed and able to think critically, problem solve, and make recommendations
- Strong inter-personal skills with an ability to build trusting and collaborative relationships with others
- Builds organizational knowledge to understand the work being done
