Role and Responsibilities

CAE is seeking an energetic team player to join our Global Technical Training team. The Global Technical Training Project Specialist is the main interface between the Instructor Specialists and other stakeholders within diverse CAE departments, as well as our global customers. This person is responsible for the project management and oversight of multiple complex technical training assignments simultaneously for all Civil and Military customers worldwide. This person is autonomous and manages multiple training projects from start to finish, within schedule, budget, scope, and quality constraints.

The GTT Project Specialist acts as primary liaison with our global customers on training project matters including cost estimates for training bids, schedules, planning, and more to ensure successful delivery of customer requirements. This person manages the budgets for all of the training projects and actively participates in the management of customer documentation, surveys and as well contributes to team improvement initiatives.

Project Execution (30%)
Manage training projects including standalone training requests as well as training associated with FFS sales in both Civil and Defense & Security business units
Track, organize, and coordinate diverse technical training requests from within and beyond CAE
Work with the Group Leader to work on team projects and initiatives of diverse scope
Develop and implement project management plan and establish clear goals and objectives
Work with the Group Leader and support the improvement of the project planning and execution processes

Planning & Management of Training Assignments (40%)
Responsible for planning training mandates and assigning instructors based on project requirements and budgets constraints while meeting customers expectations
Responsible for forecasting and maintaining the schedule of instructor training mandates 12 months in advance, and ensuring clear visibility of maintenance course scheduling and assignments
Develop and maintain the schedule based on training plans and requirements
Responsible for the internal project tracking system that reflects updated course assignments and current statuses of training mandates
Establish and maintain good communication with key personnel to obtain essential information on customer requirements
Establish and maintain good relationships with project managers and customers

**Oversees the various travel requirements**: such as visa requests, passport, and vaccination for the team
Ensure that all action plans and deadlines are met
Validate and communicate to the Group Lead the elements that do not meet the requirements of the customers
Monitor specific plans and ensures execution of planning is aligned with priorities
Create planning scenarios considering risks and emergencies for instructor training mandates
Responsible for updating and maintaining the “SME Workbook” for the training offers of the military division
Support the preparation of the syllabuses for course offerings and makes appropriate updates based on client requests
Point of contact for training requests from customers
Point of contact for business units when establishing quotes for various training requests
Resolve project work/scheduling problems by reprioritizing activities

Finance & Budget (30%)
Oversee project budgets, ETCs, and all related expenses to ensure alignment with assigned budget
Execute the project cycle review process monthly and as needed
Monitor and control the billing schedule and ETC compliance
Responsible for the alignment of training courses according to the established budgets for each project
Validate and approve budget and schedule change requests
Responsible for managing best-case scenarios while optimizing available budgets
Responsible for closing project budgets in Planisware and all budget related issues once training is complete
Responsible for managing the budget of charge numbers for instructors who are not assigned to a training mandate
Ensures the maintenance and validity of the established budgets by carrying out regular follow-ups with the Project Managers and updating Planisware
Responsible for submitting cost estimates for training bids & offers

Other related tasks
Responsible for the follow up of the issuance of training certificates for the completed trainings courses
Manage the pre and post training files such as attendance sheets, surveys and all other documentation relating to the training offered by the team
Responsible for the analysis of internal requirements, data, maintenance and proper functioning of the various internal databases (Planisware, Doors)
Analyze and reviews project requirements with the Group Leader or fellow Project Managers to define the scope and summary of high-level project deliverables for training
Analyze inquiries and makes recommendations on planning issues
Actively participate in project kick-offs and design reviews as required to understand proj
