POSITION: Temporary Administrative Assistant - IPRC/Psych Services

35 hours per week, 10 months per year

LOCATION: New Street Education Centre

SALARY CATEGORY: As per schedule (Level 5 $22.98 - $26.38 per hour + 4% vacation pay)

STARTING DATE: As Soon As Possible - March 8, 2024

DUTIES & RESPONSIBILITIES:
The Administrative Assistant - IPRC/Psych Services will provide clerical duties for a group of Professional Student Services Personnel (PSSP). This will involve familiarization with appropriate legislation that governs the protection of personal information and personal health information (e.g. PHIPA and MFIPPA). The successful incumbent will have a thorough understanding of their responsibilities as an agent of Health Information Custodians (HIC). Will assist in implementing the Halton I.P.R.C. Procedures and Ministry Regulations, and coordinating I.P.R.C. operations. The successful applicant will also be responsible for preparing and maintaining confidential student files, creating comprehensive files, coordinating intake meetings, sending information to parents/guardians, student testing sessions and feedback meetings for PSSP staff and their Managers.

This position is also responsible for maintaining a database for identified students. The successful applicant will work extensively with the Special Education computer tracking system and be an integral part of the migration to electronic record keeping for PSSP staff.

QUALIFICATIONS:
Assume responsibilities for being an agent to multiple health information custodians.

Be willing to immediately report any privacy breaches as per board protocol and follow up on required steps for any privacy breach.

Have strong organizational, communication and interpersonal skills, as well as the ability to set priorities and work with mínimal supervision.

Be capable of dealing with a large volume of materials/ requests in a short time span.

Coordinate meeting times with schools and parents while keeping abreast of changing I.P.R.C. procedures.

Ability to think through solutions to problems and demonstrate leadership skills.

Ability to create documents and track data including creation and use of spreadsheets, charts and graphs, ability to easily manipulate documents between Google and MS Word

When faced with challenging and stressful situations demonstrated ability to utilize conflict resolution skills.

Have superior demonstrated comfort in an electronic environment and skill set with Google Suite, WORD, IEP Engine, Trillium, Aspen, PRISM.

Have the capacity to learn and actively participate in the build of new computer programs and electronic management systems. For example, demonstrated ability to learn how to build and create reports and processes for staff to access useful data. Ability to manage data (file creation, pulling reports, cleaning data, etc) within an electronic system for PSSP staff (PRISM).

Demonstrated knowledge of privacy legislation and confidentiality with student information.
- knowledge of the IEP Engine would be a definite asset.
