The Cosmetic and Medical Assistant is responsible for providing clinical support to Bertucci MedSpa’s physicians and other healthcare providers, assisting with cosmetic and medical dermatology visits, patient care, and administrative duties. A key aspect of this role is delivering excellent customer service, ensuring patients and clients feel valued and well-informed throughout their care experience. The position involves clinical and clerical tasks to support the smooth operation of Bertucci MedSpa while maintaining the highest standards of patient satisfaction.
- **Key Responsibilities**:_
**Clinical Responsibilities**:
- Deliver care in accordance with physician guidelines.
- Assist physicians and other healthcare providers with cosmetic and medical procedures such as cosmetic injections and treatments, biopsies, and excisions.
- Under the supervising physician’s guidance, consult with patients to ascertain their cosmetic concerns, obtain a medical history, formulate an assessment, and develop individualized treatment plans, amongst other things.
- Perform routine clinical tasks such as taking patient histories and obtaining vital signs.
- Provide detailed information and explanations to patients about products, procedures, and services.
- Organize and set up rooms with supplies, medications, and equipment needed for procedures (e.g., local anesthetic, botulinum toxin, soft tissue fillers, sclerotherapy)
- Perform venipuncture and ECGs, as per qualifications.
- Bring patients into rooms and address questions and concerns.
- Capture high quality, standardized before and after patient photographs.
- Prepare tissue specimens for testing.
- Cross-sell services offered by Bertucci MedSpa.
- Manage patient flow to maximize clinic efficiency and patient experience.
- Provide and discuss pre
- and post-care instructions with patients.
- Follow up with patients after treatment and address questions and concerns.
- Ensure nursing station, treatment rooms, and work areas are clean, organized, and stocked with supplies.
- Sterilize instruments.
- Assist in maintaining a clean, welcoming, and aesthetically pleasing environment for clients and patients.
- Assist other staff as required.
- Perform other tasks as assigned from time to time.
**Administrative Responsibilities**:
- Accurately document all patient/client interactions in Electronic Medical Record (EMR).
- Check out patients, do billing, and book follow up appointments.
- Enter bills and payments into appropriate software.
- Answer incoming telephone calls and respond to patient communications.
- Track referral sources, send thank you letters to the source, and send consultation letters to the referring healthcare provider.
- Maintain inventory-tracking system for all consumable products (e.g., injectable products, skincare).
- Order and stock inventory and supplies as needed.
- Coordinate and execute retention strategies with patients (e.g., reminders, follow-up appointments, treatment planning).
- Handle insurance-related documentation.
- Acquire and maintain an excellent understanding of all products, procedures, and services offered by Bertucci MedSpa.
- Provide guidance and training to office staff to ensure they are knowledgeable about products, procedures, and services so that they can effectively educate patients and promote sales.
- Maintain patient confidentiality at all times.
- Provide general administrative support.

- Build and nurture relationships with existing, new and potential patients to enhance their experience, and maximize retention.
- Ensure that every patient and client feels welcomed, valued, and well-informed by delivering exceptional customer service at all touchpoints, from scheduling appointments to post-procedure follow-ups.
- Address patient concerns and questions with patience, empathy, and professionalism, ensuring a positive experience with the clinic.
- Maintain a high level of communication with patients, following up on care instructions, appointment reminders, and ensuring they understand their treatment plans and products.
- Handle customer complaints or issues promptly and courteously, escalating them to the physician or management when necessary.
- Maintain a polished and professional appearance and demeanor to reflect the clinic’s commitment to excellence.
