Club Administrator

**Job Overview**
As the Burlington Gymnastics Club Administrator, you are responsible for working within the Policies and Procedures as outlined in the Burlington Gymnastics Club Inc. (BGC) By-Laws / Policies and Procedures. Your duties include, but are not limited to, certain areas of responsibility associated with program responsibility; administration; communication; professionalism; and overall club involvement.
**REPORTS TO**
The Club Administrator reports directly to the Managing Director.
**ADMINISTRATION**
- Provide administrative support to the recreation program, and artistic and rhythmic competitive programs hosted at both club facilities (North Service Rd and Maple Ave).
- Attend and support (i.e. agenda, minutes, etc.) staff meetings called by the Managing Director.
- Process and manage club registrations and financial transactions for competitive and recreation programs, Gymnastics Ontario, competitions, tryouts, etc.
- Train, maintain and support staff on utilizing club administrative equipment and tools - software, printers, computers, phones, etc.
- Manage and maintain the club database - Studio Director.
- Maintain and enforce club administrative practices and policies.
- Oversee club office/facility inventories ( equipment, chalk, grips, uniforms, swag, equipment, office supplies, etc.).
- Maintain a current database of certifications status for staff and volunteers i.e. First Aid, Police Checks, etc.
- Ensure club policies are current and accessible for all.
**COMMUNICATION**
- Maintain positive communications (verbal and written) with internal and external customers.
- Assist with implementation of the BGC marketing initiatives including social media channels, website updates, promotional materials, newsletter, etc.
- Ensure the Managing Director is made aware of any situations that require escalation and/or could result in an operational/ reputation /safety risk to the club and/or gymnast.
**SPECIAL EVENTS**
- Assist volunteer committees with club special events i.e hosting of competitions, Awards Banquet, Gala, welcome back party, fundraising initiatives, etc.
**PROFESSIONALISM**
- Maintain confidentiality at all times in matters pertaining to gymnasts, parents, staff, club business, etc.
- Act as an ambassador for the BGC when at events, promoting the club name and programs.
- Conducting oneself in a professional manner while conducting club business.
- Wear the required club uniform when required.
**OVERALL CLUB INVOLVEMENT**
- Ensure that the rules of the gym are followed by all staff/students and set a good example (i.e. appropriate attire, language, attitude, respect for all, etc.).
- Support all club functions and promote the sport of gymnastics within the community.
- Ensure club facilities remain clean and tidy at all times.
- All other duties as assigned by the Managing Director.
**SCHEDULE**
This is a part time position with a schedule of afternoons, evenings and weekends. The person may be required to attend Club meetings and special events.
**QUALIFICATIONS**
- Two to three years of experience in administration, customer service, public relations or related industry.
- Gymnastics experience (desired).
- Strong Customer service skills.
- Excellent written and verbal communication skills.
- Experience using online databases, website management systems, and Microsoft Office.
