**Overview**:
The University Students’ Council at Western University is seeking a Coordinator, InfoSource in the Building and Business Development Department on a Full-Time Permanent basis. This position is a unionized position, part of CUPE Local 2820, and is graded in Band 4.

The Coordinator, InfoSource will be responsible for supporting users in booking USC space (specifically: Atrium, Concrete Beach and Conference Rooms) and coordinating with other USC departments including USC Productions and Hospitality. They will also provide information and direction to the students.

**Duties and Responsibilities**

**Operational**:

- Ensure all reservations and displays adhere to all applicable policies; refer all policy violations to the Manager, Building Services.
- Liaise with the USC Productions Department regarding set-ups requiring audio visual.
- Liaise with the USC Food and Beverage Department regarding set-ups requiring catering.
- Liaise with other USC Departments regarding approvals and necessary booking requirements.
- Support users with outside suppliers for set-up (e.g. tables, chairs, etc.).
- Sorting and distributing internal mail.
- Maintain Poster Boards.

**Administration**:

- Reconcile, invoice and process receipt of payments for events and bookings as necessary.
- Submit accounts payable invoices to USC Finance Department on a weekly basis.
- Programming Chubb as necessary.
- Recommend EMS administration and maintenance as required including but not limited to: updating users, updating groups, updating EMSWeb accounts, and billing account lines.
- EMS event reporting, survey data collection, and archival.

**Customer Service**:

- Assist with the processing of USC non-operational bookable space.
- Triage and direct incoming inquiries regarding USC space bookings to the appropriate individual/area.
- Determine the necessary resources and services required for bookings.
- Provide coverage at the USC InfoSource Front Desk as required.

**Supervision**:

- No direct reports.
- *Other responsibilities as assigned by the Manager, InfoSource*_

**Key Relationships**
- _INTERNAL_: Manager, InfoSource, Productions Department, Finance Department, USC Department Heads, USC Executive, Council, AVP’s, Coordinators, Interns, USC Staff, USC Clubs and Organizations.
- _EXTERNAL_: Western Administrative Departments, Western Faculties and Student Councils, Affiliated Colleges and their Students Councils, Western Residence Councils, Off-campus organizations and businesses, suppliers and providers, technicians and regulatory agencies.

**Qualifications**

**Experience**:

- Two years of experience in a fast-paced environment.
- Two years of customer service experience.

**Education**:

- Post-secondary degree/diploma in an event management or hospitality related program or equivalent.

**Working Conditions**
- Frequently sitting in front of the computer terminal for extended periods, frequent interruptions and noise, light lifting.
- Fast paced and exciting work environment with the opportunity to have a unique experience every day.
- Working Hours 8:30am - 4:30 pm, with mínimal requirement for evening or weekend work.
- This position is in-office.
