**Financial Administrator/Facilities Manager**

**The Role**

RE/MAX a-b Realty is a privately owned real estate brokerage with offices in Stratford, St. Marys, Ingersoll, Woodstock and Norwich. With over 80 realtors working in our system and approximately 1500 real estate transactions per year this is a busy role for a motivated person with strong financial acumen.

The financial administrator oversees the finance and accounting functions of the corporation. The main duties include overseeing the day to day accounting and fianancial processes, evaluating and implementing processes and operations and auditing of financial aspects of the corporation. The role is responsible for implementing financial systems for records management, and preparing financial statements and reports for ownership to ensure financial controls are in place, ensuring good financial practices and compliance with regulatory bodies.

**Duties and Responsibilities**:

- Accurately maintain books and records for all financial activities and prepare timely financial reports for management
- Ensure that bank reconciliations for all accounts are promptly completed after month-end
- Oversee company payroll and leave requests
- Manage accounts payable and accounts receivable and adhere to collections protocols
- Accurately remit and report HST
- Manage cash flows to ensure the organization is in full compliance with governing agencies at all times, including Trust account oversight and management
- Oversee and audit the financial aspects of closing real estate transactions for accuracy including:

- Agent commission, expenses
- Outside brokerage payments
- Deposit tracking and EFT/wire transfer
- Mutual releases
- Daily balancing of trust and commission trust accounts
- Past due closing follow up
- Monitor Realtor Commission programs
- Oversee and undertake Fintrac audits to ensure compliance
- Provide a high level of client/agent care
- Develop and implement financial policies and procedures for the administrative team including deal processing systems
- Manage, direct, and control daily processes, respond to questions and troubleshoot discrepancies
- Regularly audit deal transactions to ensure accuracy and process compliance
- Make recommendations for improving policies and systems in place to ensure optimal profitability for the corporation

**Facilities**:

- Oversee contracts and negotiation of terms for services required for the business
- Monitor and evaluate suppliers and initiate new supplier relationships where beneficial
- Ensure offices/premises are running smoothly and any repairs/issues are brought to the attention of management
- Follow thorough trouble shooting and finding solutions to problems

**Skills & Qualifications**
- Post-secondary education in business, accounting, bookkeeping and/or finance
- In-depth knowledge of accounting and finance
- Able to maintain confidentiality and exercise good judgement
- Strong organizational and leadership skills
- Excellent analytical skills
- Strong attention to detail
- Excellent knowledge of digital technology and MS Office, Cloud-based accounting systems
- Adept at organization, prioritization and multi-tasking
- Excellent ability to work as a team

**Salary**: $55,000.00-$60,000.00 per year
