Position: Real Estate Administrative Assistant

Hours: 40 hours per weeks, Monday to Friday

Location: 8300 Woodbine Ave., Markham

**Salary**: $25 to $ 30 per hour

**Job Overview**

**Responsibilities**:

- Administrative Tasks:_
- Assist with the brokerage's day-to-day office operations, including general office administration as required by the Broker of Record.
- Schedule appointments, coordinate logistics, and keep the office organized.
- Prepare and process real estate documents, including listing documents and offers using WebForms/TransactionDesk.
- Maintain current office forms, systems, and files.
- Track expenses and other relevant financial records.
- Listing Preparation and Administration:_
- Assist with the preparation and management of property listings: upload and update listings on MLS.
- Prepare comparative market analysis (CMA) reports.
- Coordinate property set up and preparation, which includes scheduling photographers and other third parties, as well as installing/removing signs and lockboxes.
- Order signs, photos, feature sheets, floor plans, etc., for property listings.
- Client Relationship and Office Management:_
- Maintain complete digital records of all listings and transactions, ensuring all required paperwork/documents are collected and completed correctly.
- Manage client interactions on behalf of the Broker of Record, providing excellent customer service.
- Maintain and update client databases, ensuring organized record-keeping.
- Assist the Broker of Record with property management and tenant interactions.
- Proactively follow up with clients, collect data and documents, provide showings reports, and handle closing details.
- Request testimonials from clients.

**Skills**
- Minimum of 3 years of real estate administrative or assistant experience.
- Experience with Webforms is required (preparing offers, uploading listings).
- Knowledge of Stratus MLS and Realm is required.
- Professional and effective communication skills in English, both written and verbal.
- Confident, professional business etiquette in person and over the phone.
- Proficient in Microsoft Office (Word/Excel), Google Suite, Adobe Creative Cloud, and Social Media Platforms (Instagram, Facebook, LinkedIn, WeChat, Little Red Book etc.).
- Capable of working independently and within a team setting.
- Strong time-management skills and the ability to manage deadlines.
- Exceptional attention to detail and organizational skills.
- High respect for confidential and sensitive information.
- Proficient in Mandarin is preferred.
- Access to a vehicle is required.
- Available for occasional overtime hours/weekends.

**Job Types**: Full-time, Permanent

**Salary**: $25.00-$30.00 per hour
