Job Description Summary

This position is part of the Human Resources (HR) Team in the School of Nursing and is responsible for coordinating all human resources clerical tasks in the school based on needs and strategic projects. Responsibilities include timely and accurate processing of staff, student, and faculty appointments/re-appointments; processing staff, student, and faculty payments; interpreting and accurately communicating policies and procedures; assisting in the development and implementation of new policies and procedures; data entry into UBC Workday; and assistance with hiring processes as required.

Organizational Status

This position reports directly to the HR & Finance Manager and receives direction from the Senior Manager. Liaises with other school staff, faculty and students; members of various UBC central departments and external organizational contacts as necessary.

Work Performed
- Works with supervisors and UBC Human Resources to ensure staff positions are correctly classified and advertised on Workday.
- Coordinates student appointments, re-appointments, terminations using Workday.
- Responsible for maintaining data input into Workday, including demographics, salary information, and job description library. Works to maintain data integrity.
- Maintains a bring-forward process for reappointments, promotions, working notices, probation, and salary increases.
- Collects all new hire and departing employee documentation, including employment information and resignation letters. Assists supervisors in onboarding and offboarding employees.
- Communicates with Payroll, HR, Integrated Services Center (ISC) and the Dean’s Office to investigate and solve payroll, appointment enquiries/issues.
- Coordinates recruitment and termination of staff and students for the School by performing duties from drafting job description to creating job postings; serves on interview committee; hiring, onboarding, discipline to termination.
- Coordination of full cycle recruitment activities for all staff and students within the School includes assisting with development of job descriptions and liaising with central Human Resources for information and clarification; prepares advertisements, generate job offer letter and immigration documents.
- Maintains position records and job descriptions on Workday for School of Nursing positions, ensuring budgetary information is correct; ensures appointments are accurate and compliant with UBC policies.
- Assists with planning, developing, organizing and implementing human resources activities within the School, such as evaluating hiring needs, job analysis, and posting and advertising jobs through the UBC Workday system.
- Subject matter expert for workday HR systems, appointment, reappointments, recruiting, position management and honoraria.
- Provides faculty and staff with information of a complex nature, such as faculty/staff salary information and advice or assistance with interpretation of collective agreements.
- Works in close coordination with HR & Finance Manager in overseeing leave management records for staff and students, monitors for any issues of concern; adjusting entitlements with step increases or changes in status. Develops and maintains an efficient and accurate physical and electronic filing system for all HR transactions and personnel.
- Tracks attendance, overtime, leaves, vacation, and statutory holiday pay.
- Advises on and ensures follow-through with the Performance Review process, sets deadlines, supports managers in the process; tracks annual review schedules for all staff, ensuring managers conduct them at appropriate time, ensuring timely midpoint progression increases or merit consideration; collection of review documents and completion of worksheets to Faculty of Applied Science.
