Job Overview

The Scheduling Coordinator for an Orthodontic Clinic position entails the management of a calendar for appointments of multiple locations and is the first person with whom our patients come in contact with; whether that be in person or over the phone. This position requires excellent verbal and written communication skills to maximize productivity and efficiency within the clinic. Our main goal is to deliver high quality customer service while meeting the practice's needs. Our tone is always warm and concerned, exclusively with the caller. Be the best part of the patients’ day.

Responsibilities and Duties:

- Greet patients with enthusiasm when they enter the clinic
- Checking in patients for appointments
- Answer the phones in a prompt manner
- Scheduling or rescheduling patient appointments
- Checking the incoming mail and taking outgoing mail at all locations
- Sending and accepting packages (UPS, FedEx, Purolator)
- Scanning and filing of patient information
- Processing payments in clinic
- Ensuring that the front desk and main waiting area is tidy
- Updating patient information
- Providing excellent customer service
- Ensure the front end runs smoothly
- Accountable for your role in the processes and system for protection of personal information
- Responsible for ensuring that personal information is kept secure and confidential
- Assists in the general office housekeeping duties

Qualifications:

- Completion of a High School diploma or equivalent is required
- Experience in an administrative and customer service position is considered an asset
- Strong attention to detail
- Outstanding communication skills
- A willingness to go above and beyond
- Ability to prioritize in a fast team based environment
- Proficient knowledge of a variety of computer programs
- Comfortable working with the public
- Provide a calming presence in interactions with patients and guardians
- Proper phone etiquette
- Ability to cross-train
