Reporting to the Executive Director, the Database Officer will have high professional and ethical standards for handling confidential information. As a representative of Balmoral Hall School, the incumbent will be personable and positive. They will have the ability to deal comfortably and efficiently with senior employees, alums, parents, and other external stakeholders.

The Database Officer is a key position within the Philanthropy and Alum department. Working collaboratively with the Director of Philanthropy and Alum Relations Coordinator, the person in this role is responsible for the database and financial management of all fundraising initiatives and brings technical expertise to ensure the quality and accuracy of data. This includes creating financial reports and reconciliation with the school’s finance department. With over 4,000 alums worldwide, the Database Officer will also support the Alum Office in identifying and engaging alum with potential to support Balmoral Hall through volunteerism, community development and/or through philanthropic support.

The Database Officer is a member of a cross-functional, cooperative that includes the BH Foundation, Philanthropy, Alum, Admissions/Registrar, Communications and Finance teams which understand, integrates with, and supports each other’s focus of activity.

**Duties & Responsibilities**:

- Database management including daily administration, maintenance, integrity, accuracy, and quality of our Blackbaud: CORE & Raiser’s Edge database
- Input data to keep parent, grandparent, alum, and donor records updated.
- Review and keep up-to-date policies and procedures for database management.
- Gift processing including managing all aspects of every donation, including gift recording, processing, acknowledgments and receipting in accordance with CRA guidelines.
- Responsible for managing donor listings and appropriate stewardship.
- Prepare all needed financial reports/cash flows and reconcile monthly/quarterly with the finance office including month-end, fiscal year-end and audit-related information to ensure accurate accounting of all gifts.
- Administration work including conducting prospect research and assisting in creating donor profiles.
- Respond to BH Foundation, Philanthropy, Alum, Communications, and faculty requests for constituent detail including list preparations, contact details etc.
- Work with BH Foundation, Alum, Philanthropy and Communication departments to distribute information to BH constituents as required.

**Qualifications**:

- High level of proficiency with Blackbaud CORE & Raiser’s Edge database (and/or RE NXT) is preferred, otherwise experience with another database platform is essential.
- High degree of accuracy with exceptionally high level of attention to detail.
- High level of computer skills and knowledge using Microsoft Office 365 (Excel, Teams, Forms, Outlook).
- Must exhibit strong oral and written communication skills.
- Customer service orientated and personable with strong interpersonal skills.
- Self-starter with strong organizational skills.
- Knowledge of Canada Revenue Agency guidelines pertaining to charitable giving required.
- Working understanding of privacy legislation and legal requirements as they relate to donor records management.

**Education and Experience**: Post-secondary education preferred (certificate/diploma) in a related field. Three (3) years directly related experience in a fundraising environment, or an equivalent combination of education, training, and experience. Knowledge of data entry is required. Experience using reporting and analytic tools, as well as with data validation, importing and exporting of data. Experience working independently.
