Position Summary
Reporting to the Manager of Intergovernmental Relations, the Coordinator, Council Support & Community Relations is responsible to coordinate and provide research, community relations, communications, and administrative support for city councilors. This position acts as a resource for 12 city councilors, liaises with city staff, and the public.

Key Duties & Responsibilities

Coordinates on behalf of councilors, with internal municipal staff and external agencies.

Interact effectively with corporate leadership as required, including the CAO’s office, collaborating on key internal issues often politically sensitive and confidential in nature.

Respond to the public, community organizations, and staff in a timely manner, dealing with questions and complaints by investigating the issue, consulting with the relevant district councilor, as necessary.

Stay current on related district and city issues, actions, and outcomes.

Stay current on other levels of government issues and actions that could have implications at the municipal level.

Support and provide advice to councilors as necessary with public and district outreach on city initiatives / council priorities including newsletters, district meetings.

Monitor councilor social media and provide support with messaging and responses as appropriate.

The Coordinator, Council Support & Community Relations maintains a corporate perspective while providing direct assistance to councilors, as necessary. They will demonstrate superior customer service and communication skills through regular interactions with diverse audiences. This position will support council with policy and research, communications, community relations as well as administrative, and logístical support to city councilors.

This position is integral to ensuring members of Kingston council are supported in their role as elected officials and to ensuring responsiveness to community questions and concerns. Confidentially and diplomacy are required for all aspects of this position.

Coordinates with other departments to conduct research with mínimal direction to assist the councilors with respect to new municipal initiatives / prepares briefing notes, speaking notes and other information and background materials for councilors, as necessary.

Supports and advises councilors on organization of town halls as well as supports members of council in preparation for conferences. Attends councilors' meetings and conferences as required.

Schedules meetings and appointments, and book travel arrangements for councilors. Assists in event preparation and coordination for municipal, provincial, and federal announcements including site tours and the annual New Year’s Levee.

Process expenses and accounts for all councilors and issue yearly expense summaries.

Other duties as assigned.
Qualifications, Competencies
- College Diploma in Business Administration, Office Administration, or a related field
- Three years recent and related experience

Strong organizational skills with the ability to prioritize work in a demanding environment

Strong verbal and written communication skills

Strong grammar, writing (may be tested), and editing skills, with attention to detail

Excellent interpersonal, communication, planning, and time management skills

Strong customer service skills, including the ability to establish good working relationships with a variety of internal and external clients and the public

Ability to review and prioritize constituent concerns and determine the appropriate courage of action to resolve issues

Strategic thinking and political acuity to recognize emerging and sensitive or political issues to flag to the applicable department and to applicable members of Council for awareness and proactive response

Knowledge of the functions handled at municipal, provincial and federal orders of government to respond to constituent questions or comments

Ability to work effectively, independently and as a team member

Proficient skills in MS Office

Demonstrate integrity; adhere to professional standards, regulations and corporate policies and procedures (e.g. Code of Conduct)
