**The Opportunity**
Reporting directly to the Municipal Clerk, the Coordinator, Legislative is responsible for supporting the Town’s Records Program projects, coordinating, and implementing Municipal Elections, and providing general administrative support to the Clerks Department. This role is responsible for supporting integral records management projects such as annual destruction and records retention schedule updates. This role during and leading up to election campaign periods will shift to assist the Municipal Clerk in administering Municipal Elections as its primary responsibility. Finally, the Coordinator, Legislative will provide daily administrative support to the Clerk Department’s Committee of Adjustment, Freedom of Information, and Accessibility programs. The purpose of this role is to provide additional support requirements of major projects within the Clerk’s Department. As the Coordinator, Legislative you will perform the following duties, including but not limited to:
- Prepares and organizes annual records destruction through reviewing Town Records Management systems to prepare Destruction Notices on eligible records, coordinating approvals, identifying, retrieving, and organizing eligible records.
- Advising, guiding, and supporting Town staff on completion of department specific records management initiatives.
- Serve as a Supervising Deputy Returning Officer (SDRO) prior to and during Election periods in essential collaboration with the Returning Officer/Municipal Clerk
- Assist with research, developing and implementing strategies, including policies and procedures related to various aspects of the municipal election.
- Coordinate staff, materials, and equipment necessary to effectively implement the election, including the implementation of agreements and procurement documents.
- Contributing to maintaining compliance with Accessibility for Ontarians with Disabilities Act (AODA), Municipal Elections Act (MEA), any draft policies, plans and procedures as required.
- Revise, update and prepare election materials including information manuals and pamphlets, election/user handbooks and manuals, voters lists, voter notification cards and ballots.
- Provides administrative support to ongoing Accessibility projects and programs, including supporting implementation of Accessibility Advisory Committee work plans and Multi-Year Accessibility Plan initiatives
- Serves as a Commissioner for Taking Affidavits
This position offers a salary range of $61,730.86- $75,650.81 plus a competitive benefit package.
