Accounting / Administrative Assistant

We are seeking a highly organized and detail-oriented Accounting Assistant to join our team. This position will perform Accounts Receivable and Accounts Payable duties while assisting our external accountant and bookkeeping team. This position requires excellent verbal skills to communicate with clients and our accounting team. Negotiation experience is required to speak with customers regarding delinquent accounts. This position requires excellent knowledge of Excel, Word, Outlook, Google sheets and QuickBooks Online.

**Duties**:

- Reconciliation of customer accounts while working with external bookkeeping team to analyze anomalies.
- Communicate effectively with other colleagues, customers, vendors, external bookkeepers, and accountants.
- Ensure customer payments are received, deposited, scanned, and sent to bookkeeping team for entry into QuickBooks.
- Ensure customer deposits and communications are logged into shared Google sheet
- Provide bi-weekly updates to VP of customers who are reaching the 30-day threshold
- Send reminders to clients of overdue accounts. They may include a statement of account or Finance Charge.
- Ensure vendor invoices received are accurate and not duplicates.
- Ensure invoices are submitted in a timely manner to external bookkeeping team based on accounts payable due dates charts.
- Assist the Office Manager with clients calls if necessary, creating or updating tracking spreadsheets or ad hoc reporting requirements as they arise for the CEO, managers, or external accountants/bookkeepers.

**Education**:
Strong accounting principles. Accounts payable, accounts receivable, reconciliation.

Excellent knowledge of Excel, Word, Outlook, Google sheets and QuickBooks Online.

Excellent verbal and written communication skills

**Language**:
English. Strong English skills are a requirement for negotiating with clients and vendors on the phone.

**Salary**: $52,000.00-$58,000.00 per year
