**Maintenance Coordinator**

**Job Summary**:
The Maintenance Coordinator plays a vital role in ensuring the smooth operation of an organization or facility by overseeing and coordinating maintenance activities. Their primary responsibility is to maintain the physical assets, equipment, and facilities, keeping them in excellent working condition, and ensuring the safety and comfort of both staff and residents.

A crucial aspect of this role is the ability to interact with residents and their families in a friendly and responsive manner, promptly addressing their needs.

In addition to excellent interpersonal skills, the role requires physical stamina, including the capability to lift heavy objects, stand for extended periods, and undertake physically demanding tasks as necessary. The Maintenance Coordinator is also expected to assist the maintenance staff in handling maintenance work requests, managing and obtaining parts and supplies, and ensuring strict adherence to safety protocols, WHMIS regulations, and established safe work practices.

Moreover, the Maintenance Coordinator plays a pivotal role in managing after-hour emergency calls and coordinating the necessary maintenance work as needed.

**Key Responsibilities**:

- **Maintenance Planning**: Develop and maintain a comprehensive maintenance plan, scheduling routine inspections, repairs, and preventive maintenance activities for all equipment, buildings, and facilities.
- **Work Orders**:Receive, prioritize and delegate maintenance requests from various departments or residents, ensuring prompt resolution of issues.
- **Vendor Management**:Coordinate with external contractors and service providers for specialized maintenance services, as needed. Obtain quotes, negotiate contracts, and oversee their work to ensure quality and cost-effectiveness.
- **Inventory Management**: Maintain an organized inventory of maintenance supplies, spare parts, and tools, ensuring their availability for maintenance tasks. Source and order parts and supplies as needed.
- **Budgeting**: Assist in the development and management of the maintenance budget, tracking expenditures and finding cost-effective solutions.
- **Compliance**: Ensure that all maintenance activities comply with relevant regulations, codes, and safety standards. Familiarity with WHMIS and safe work practices is essential.
- **Record Keeping**: Maintain detailed records of maintenance activities, work orders, inspections, and repairs. Generate reports for analysis and decision-making.
- **Emergency Response**: Coordinate and respond to emergency situations including after-hour emergency maintenance and repairs, ensuring mínimal disruption to operations and the safety of all occupants.
- **Staff Supervision**: Oversee and provide guidance to maintenance staff or contractors, ensuring they perform tasks safely and efficiently, in accordance with safe work practices.
- **Training and Development**: Provide training and guidance to maintenance staff to ensure they have the necessary skills and knowledge to perform their duties effectively. Assist with the creation of safe work practices and procedures.
- **Assist Maintenance Staff**: Collaborate with maintenance staff and provide assistance with maintenance work requests when needed to ensure efficient and effective task completion.
- **Communication**:Keep relevant departments and residents informed about maintenance activities, including progress, timelines, and potential disruptions. Work with residents and families in a friendly manner and address their needs in an appropriate and timely manner.
- **Continuous Improvement**: Identify opportunities for improvement, cost reduction, and enhanced maintenance strategies. Implement best practices and monitor their effectiveness.
- **Invoicing and Payment**: Create invoices for billable work performed for residents, collect payments, and accurately record transactions in QuickBooks.

**Qualifications**:

- A degree in facilities management or a related field is preferred.
- Previous experience in maintenance, facilities management, or a related role is beneficial.
- Strong knowledge of maintenance procedures, equipment, and safety regulations, including WHMIS and safe work practices.
- Detail-oriented with a strong focus on accuracy and precision.
- Excellent organizational and problem-solving skills.
- Strong interpersonal and communication skills.
- Ability to work independently and as part of a team.
- Physical ability to lift heavy objects, stand for long periods of time, and perform physically demanding tasks as needed.
