**PLANNING - ADMINISTRATIVE OFFICE ASSISTANT**
The Upper Grand District School Board (UGDSB) employs approximately 4,000 dedicated staff who serve more than 35,000 students attending a variety of programs across 65 elementary and 11 secondary schools as well as continuing education and adult learning centres in the counties of Dufferin, Wellington and the City of Guelph. The Upper Grand District School Board invites qualified applicants for this full-time permanent position within the Planning Department. This is a 12-month position.
**LOCATION**:Guelph Board Office, Planning Department (500 Victoria Rd. N, Guelph, ON)
**SALARY RANGE**:$25.29 - $ 31.54 per hour (35 hours per week)
**RESPONSIBILITIES_: _**
The position will be responsible for performing administrative duties for the Planning Department, under the supervision of Manager of Planning, and will include the following:
- Composing and preparing correspondence, presentations, meeting agendas and minutes
- Responding to school, parent, and other internal and external inquiries and follow through with appropriate steps
- Booking meetings, training sessions, and appointments
- Managing departmental records, files and correspondence
- Processing invoices for payment, review monthly account statements and assist with department budget
- Organizing agendas and supporting materials for meetings of the Board of Trustees
- Scheduling and attending Property Committee meetings of Trustees including organizing, preparing agendas and taking minutes.
- Coordinate to completion, leases, licenses and other agreements related to the Board’s facilities and programs
- Keeping a department record and tracking the progress, expiry of all leases, licenses and all other agreements.
- Assisting Manager of Planning on Property related matters such as disposition/acquisition processes
- Coordinating meetings with legal counsel and internal and external stakeholders related to any matters of the Planning Department
- Providing assistance to Planning department staff with major projects such as Accommodation and Boundary Reviews, EDC By-Law Review etc. - organizing and attending public meetings, including set up of necessary displays/materials, drafting of agendas and minutes
- Liaising with municipalities and other stakeholders
- Entering data into SDS Finance system including purchase requisitions and receiving of ordered products
- Maintaining and updating planning information on Board website
- Additional hours beyond regularly scheduled hours may be required
- Undertaking special projects and assignments
- Performing other duties as assigned
**QUALIFICATIONS**:
- O.S.S.D. or equivalent
- Office administration diploma would be an asset
- A Minimum of two years of experience in a similar role preferably in a real estate office or in a Planning Department in a private or government office setting
- Excellent written and verbal English communication skills, and interpersonal skills to meet and respond tactfully and effectively with Board employees and the public
- Excellent skills using Microsoft Word, MS Excel, MS PowerPoint essential
- Ability to handle confidential matters with tact and diplomacy
- Knowledge of school enrolment projection software will be an asset
- Working knowledge of School Board policies and procedures will be an asset
- Minute taking experience will be an asset.
- Excellent organizational skills
- Ability to work independently under strict timelines with accuracy and attention to detail
