**Job Summary**
Reporting to the Controller of Finance Support Services, the successful applicant will coordinate the effective secretarial and administrative assistance functions to ensure the efficient operation of the office.

**Key Responsibilities**
Responsibilities will include: supporting and scheduling meetings for the Controller of Finance Support Services; preparing and maintaining documentation for all of the finance department including any material related to staffing; monitoring of the department's consumable budgets; communicating with trustees and senior administration; updating and formatting parts of the budget book; verifying and amending calculations for statistical/financial reports; verifying and processing invoices, municipal tax payments, expense statements for Controller and Senior Finance Managers; processing attendance records for the department, as well as approving and maintaining records regarding vacation and leaves for staff on PAM and Time Entry; preparing various Board Reports as required; preparing and updating Powerpoint presentations and charts; co-ordinating the distribution of legal fees and processing authorized invoices; provide support to committees which the Controller may chair/be a member of by preparing and distributing minutes, preparing agenda packages, contacting participants, following up items, recording minutes and acting as a resources as required; maintaining a filing system; creating and maintaining individual department/program web pages (intranet) and Board pages (internet) ensuring accuracy of information; organizing departmental meetings as required; and other duties as assigned.

**Qualifications**
- Grade 12 education in addition to several years of related experience in progressively responsible positions. Post secondary education in business administration is an asset.
- Excellent organizational skills, record keeping, and bookkeeping skills.
- Excellent written and verbal communication skills.
- Excellent interpersonal skills and the ability to deal with people effectively.
- Ability to maintain confidentiality and deal with matters of an extremely sensitive nature.
- Ability to compile and report statistical data.
- A working knowledge of the Peel Board budget process.
- Demonstrated leadership, initiative, organizational and planning skills.
- Demonstrated attention to detail to ensure accuracy.
- Excellent analytical and research skills.
- Ability to work as a member of a team and with limited supervision.
- Demonstrated commitment to working in a diverse school community and/or work environment
- Record of satisfactory-on-the-job performance while employed by the Peel District School Board
