Agriculture Programs and Events Supervisor, The

The role of the Programs and Events Supervisor at The Pointe Agricultural Event Centre is to plan and coordinate the site's activities, event logistics, and group bookings. They will also research future program/event developments and work with the community to meet their needs and maximize facility utilization. This position shall manage and supervise the execution of all booking and event contracts.
Through regular evaluation and collaboration with the leadership team, the Programs and Events Supervisor will have the lead in overseeing customer service staff, facility bookings, and community engagement. They will develop customer service training and lead a team of service-oriented staff to ensure all Pointe teams respond professionally to the needs of the facility and guests. Given the dynamic nature of this facility, this position must be adaptable and flexible.
**Responsibilities**:
- Work with Operations Supervisor to develop systems, event work plans, and task lists to support major events. These include pre-event preparation, in-event support, and post-event takedown and debriefing.
- Research and implement site initiatives to actively promote and prospect for new, relevant, and viable user groups to fully utilize The Pointe; match interested parties to available spaces.
- Develop event rental licenses with organizations and allocated groups that define the activity, including but not limited to logistics, allocating booking spaces, revising, and updating to ensure accuracy, the use of proper fee/extra fees applied, and required setups/costs.
- Liaise with user groups to develop comprehensive event plan, review expectations from either party, and ensure compliance with facility safety requirements, allocation guidelines, and policies (i.e. Returns and cancellations, payments, insurance, and contracts).
- Ensure high-quality service delivery for spontaneous use, events, rentals, and customer experiences that adhere to best practices, industry/government standards, municipal policies, and professional regulations.
- Work closely with the Facility Supervisor and programming team to develop booking guidelines and procedures for block booking groups such as schools, clubs, and associations. This includes communicating these guidelines to all booking staff to ensure the needs of these groups are met.
- Develop, deliver, monitor, and communicate pertinent event information with relevant parties. This includes using tools such as event schedules, signage, pylon signs, and other 24-hour information systems to ensure everyone is adequately informed about current and upcoming events.
- Develop schedules and supervise any booking staff, customer service staff, and staff whose primary role is to serve as event hosts, as well as assign and monitor the day-to-day responsibilities and activities of hourly and full-time staff.
- Develop and manage facility-specific processes for cash handling, deposits, facility bookings, program registrations, point of sale, ticketing, and specialized products and services while understanding and adhering to department financial practices.
- Implement County procurement procedures and contract management. Work with Legal and Legislative Services to ensure risk is mitigated and license expectations are clear.
**Qualifications and Skills**
- Knowledge and experience with agricultural events and non-agriculture event planning
- Develop/vet large-scale event plans and address guest concerns and requests, including managing risk through contracts and license as well as expectations of public, political, and operations groups.
- Ability to perform well under pressure, exercise sound judgment, manage multiple priorities and demands, and motivate others to achieve results.
- Strong leadership, interpersonal, and communication skills to identify client needs, provide recommendations, and instill confidence in staff and clients.
- Excellent analytical and problem-solving skills to identify potential risks or difficulties in technical plans to determine appropriate solutions.
- Experience with contract management and license agreements.
- Post-secondary degree (Agriculture, Business, Recreation, or in a related field) with a minimum of 5 years of related experience.
- Minimum 3 years of supervisory experience in comparable scope/scale.

- Valid Alberta Class 5 Driver’s licence and submission of a 5-year Driver’s Abstract with less than 7 demerits
