**Responsibilities**:
**Responsibilities**:

- Triages the PhD inbox daily. Responding to inquiries from prospective applicants current students and faculty members.
- Meeting with potential applicants via zoom to answer admissions questions.
- Responsible for placing Great Hall Catering Orders for events while being mindful of budgetary constraints.
- Compiling feedback from Feedback Surveys.
- Room bookings for Public Lectures, Defenses.
- Assisting with the updating of Current Student Progression documents.
- Assisting the Program Coordinator with the onboarding of new students and the tracking of documents e.g. bio book submission.
- Maintaining the PhD Program Website.
- Tracking Visiting Students.
- Reconciling Payroll.
- Assisting the program coordinator with updating courses on Learn.

**Qualifications**:
**Education**:

- Community College Diploma or Undergraduate degree

**Experience**:

- 1+ year of administrative experience providing customer service

Skills, Abilities & Expertise:

- Knowledge of admissions processes, timelines, and PSAC Collective agreement
- Written and verbal communication skills to express ideas clearly, and adapt communication style to suit the situation and audience
- Computer skills with the ability to learn and use software programs
- Proficient in Excel, Outlook, Power Point, and Qualtrics
- Ability to maintain a positive, outgoing attitude with genuine customer service orientation
- Ability to follow formal business practices with high attention to detail
- Ability to multi-task and maintain an organized and effective personal work environment
- Adapts readily and effectively to changing priorities and demands
- Personable and courteous in working relationships with colleagues, students and the public
- Ability to work independently and effectively as a member of the team to achieve department goals
- Ability to work in a manner that is compliant with confidentiality requirements
