**On Site Administrator (OSA) - IHE Operator School**

As the IHE Ambassadors, our On Site Administrators are the first point of contact for students, visitors, and employees. They play a crucial role in shaping the impression of IHE Beyond simply greeting guests our OSAs facilitate smooth communication and ensure efficient site operations by managing the day to day administrative and customer service duties. Their professionalism, warmth, and attention to detail not only enhance IHE’s student experience, but also contribute to the positive culture on our training sites. **Must haves (minimum requirements)**:
- 2 years of administrative assistant experience.
- 2 years of customer service experience.
- Must be punctual. Hours are Monday 6:30am-3:00pm and Tuesday thru Friday 7:30am-4:00pm.
- Strong communication skills verbally, written, and general.
- High level of professionalism and sound judgment in providing information and advice.
- Ability to multi-task and prioritize effectively.
- Organizational skills and efficient administrative skills.
- Strong computer aptitude and ability.
- Empathetic, calm demeanor in high stress situations.
- Upbeat, engaging personality/good first impression vibes.
- Ability to work independently while staying productive and on-task.
**Key Responsibilities**:
- Contribute to positive internal culture by setting example.
- Adhere to IHE Codes of Conduct, Policies, and Procedures.
- Complete new student enrollment, collect registration fees, and issue appropriate receipts.
- Complete, scan, and save student intake paperwork.
- Register new intakes for their safety tickets.
- Communicate with late arrivals and absentees each day.
- Maintain professional contact and rapport with students to monitor their progress throughout their program (maintain IHE open-door policy).
- Keep appropriate internal parties informed about any student concerns, challenges, or situations or other that may cause students to be disenrolled, drop out, disqualified, or otherwise.
- Ensure contact is made with applicable parties in the event of personal, attendance, or financial challenges.
- Perform site tours in a professional, safe, and friendly manner.
- Greet visitors and have them sign in, inform them of site muster point and any applicable emergency protocols.
- Provide information to visitors regarding courses, site operations, typical training days, and any other imperative information.
- Assist site staff with any administrative duties necessary to aid in their day to day.
- Monitor site inventory of student, office, and maintenance supplies.
- Facilitate and submit student surveys.
- Ensure on-site signage is current and accurate.
- Update job leads for students.
- Update all information PowerPoints on site as needed.
- Confirm and report site attendance for both staff and students.
- Prepare course materials and personal protective equipment for students.
- Scan and file final exams to student folders.
- Keep site superintendent up to date with “week at a glance” summary.
- Inventory counts (PPE, Binders, Grease Guns, SWAG).
- Distribute graduation packages to grads.
- Archive any student records per PTIB requirements.
- Keep students informed of any upcoming weekend safety tickets, events, or site happenings.
- Follow up with IHE graduates for updated information on their employment.
- Communicate with funders regarding assessments and scheduling of assessments.
- Host and organize VIP tours.
- Ensure appropriate documents are sent to head office each week.
- Assist sales advisors where requested with student related tasks.
- Execute any special tasks requested by sales, registry, operations, or other staff in a professional and timely manner.
