Job Description Summary

This position reviews, advises and creates research contract and grant accounts and establishes funding commitments in UBC accounting system (Workday). The position advises and informs faculty and staff on financial issues relating to research grants and contracts. Advises and informs faculty and staff of sponsoring agency, financial and other policies and procedures. Liaises with external funding agencies on funding and other financial issues. This job entails detailed knowledge of granting agency policies and UBC policies and procedures.

Organizational Status

Reports directly to the Research Manager.

Work Performed

1) Administers research grants and donations from granting agencies and other sources external to UBC. This includes:

- reviewing research awards from external agencies to ensure conformity with University Policy;
- interpreting the financial implications of granting agency award notices and establishing appropriate accounts in Workday using the RISe electronic interface;
- processing Budget Journals to establish spending limits (budgets) in Workday using RISe electronic interface.

2) Administers research grants for all non-profit & government granting councils, foundations and associations.

3) Advises and provides authoritative information to faculty, department administrators, department heads and deans regarding:

- financial information on their research awards;
- granting agency policies and contract terms;
- University policies and procedures.

4) Develops and maintains training modules for Research Services' staff.

5) Trains university research community in the requirements for the establishment of research accounts and budgets.

6) Communicates directly with sponsoring agency personnel, Financial Services, Industry Liaison, faculty, administrative personnel at UBC and the Research Services Offices at the affiliated teaching hospitals. This involves:

- clarification of granting agency policy;
- performs in-depth statistical analyses pertaining to accounts, and prepares annual reports for UBC stakeholders and sponsoring agencies;
- acting as a liaison between the UBC research community and sponsoring agencies;
- acting as a resource to and liaison with the affiliated hospitals and centres.

7) Answers non-routine enquiries concerning research and trust accounts and budgets.

8) Identifies and reports patterns of errors which may highlight system weaknesses requiring further analysis.

9) Trains new staff, and existing staff in new or enhanced policies and procedures, advises on usage of RISe databases and Workday, with a focus on the Workday Grants module.

10) Develops and implements section workflow procedures to effect streamlining processes.

12) Processes journal vouchers and requisitions for Research Services.

13) Performs other duties related to the qualifications and requirements of the job.

Consequence of Error/Judgement

Non-compliance with contractual terms and/or sponsoring agency guidelines could result in the return of agency funds, loss of future funds, and/or inability to collect funds owed to the University. Incorrect interpretation of Sponsoring Agency and University policy provided to faculty will result in non-compliance with sponsoring agency terms on the use of funds. Errors in the establishment of research accounts and budgets in the Workday could create significant financial liability for the University.

Supervision Received

Reports to the Research Manager. Establishes own priorities in accomplishing job duties, and receives instructions for unusual problems.

Supervises work study students.

Minimum Qualifications

High school graduation, plus enrolment in final year of undergraduate studies with a minor in accounting/finance, plus five years of related experience, or an equivalent combination of education and related experience.
