Equipment & Purchasing Coordinator

**Summary**: The Equipment & Purchasing Coordinator is responsible for administrative support to both the Equipment and Purchasing Groups, for asset acquisition and management. Additionally, they will assist in logistics operations, including asset management, procurement, and supplier coordination.

**Responsibilities**:

- Contact suppliers to acquire price and availability information for equipment, services, and manage asset purchasing communications based on approvals with vendors.
- Organize and consolidate quotation packages for Waste Corporate review, and prepare capital request packages based on final purchase decisions.
- Process invoices for Waste Corporate purchases and communicate with the Accounts Payable department regarding invoice-related inquiries.
- Manage asset order tracking, obtain frequent updates on order status, coordinate supplier delivery, warranty registration, internal PDI, Miller branding, and final delivery to location.
- Coordinate new asset setups in Fleet Software and ERP Software, and liaise with District Equipment Managers to prepare asset transfer and end-of-life asset management paperwork.
- Generate monthly equipment cost reports and assist Operations with fleet data and productivity reports.
- Audit Fleet Software data to ensure end-users are following proper procedures, and organize and maintain asset, supplier, location, and contract files.
- Create and modify existing forms, field generic equipment-related requests from internal and external sources, and perform other duties as required.

**Competencies & Qualifications**:

- Must have a Post-Secondary diploma or equivalent industry knowledge.
- 1-3 years’ experience in an administrative function.
- Related experience in the transportation industry is an asset.
- Digitally proficient with strong computer skills including proficiency in MS Office Software (Excel, Word, Outlook).
- A thorough understanding of creating and assembling reports including calculations and metrics.
- Able to manage workloads and multiple projects with oversight from the manager.
- Ability to facilitate and coordinate communications and meet deadlines in a fast-paced environment with several projects active at any given time.
- Working overtime and on weekends or travel may be necessary.

Flexibility is also required as this position occasionally requires travel, early starts, late finishes and on rare occasions weekend work. This is an in-office role, but occasional remote work is acceptable when approved.
