**Key Responsibilities**:
Duties include, but are not limited to:

- Responsible for supervision of the Administrative Group in the Vancouver office to ensure the following administrative tasks are completed:

- Prepare/edit/format all documentation, technical and other, as required in accordance with standardized company guidelines
- Printing, photocopying/binding, preparing of fax/courier documents, filing, etc.
- Set up project files, filing/archiving of all project and office materials per established company protocols
- Supervision of reception ensuring all guests are greeted in a courteous manner
- Processing invoices and expense reports for payment, ensuring there are adequate controls within the office
- Maintain and reconcile petty cash fund on a monthly basis
- Provide support and assist with the Accounts Receivable team
- Manage office facilities, and liaise with Property Manager on various items (security, building access, repairs)
- Work with key managers on office layout and seating arrangements to maximize space efficiency and coordinate the purchase of office furnishings
- In consultation with HR, assist with new employee on-boarding program
- Schedule and organize staff meetings to facilitate information sharing amongst the staff
- Coordinate offsite document storage
- Assist with planning of office events, catering arrangements, etc.
- Meeting Management - taking minutes, follow up, and report on progress

**Professional Qualifications**:
**Education**:

- Post-secondary certificate or diploma in office administration/management

**Experience**:

- 5-10 years’ experience managing a team and an office, preferably in a professional services organization
- Knowledge or experience in accounting and/or finance is an asset

**Skills**:

- Excellent organization skills and ability to prioritize multiple timelines and competing demands.
- Excellent communication skills, both written and verbal
- Management and leadership skills that inspire confidence and trust with your clients
- Strong commitment to your profession and client service excellence
