Reporting to the general manager, the project manager plans, monitors, organizes, controls, and delivers in a timely manner on Capital Maintenance and Renewal (CMR) projects & ALDR process for insurance claims, losses, & damages. These projects support the strategic priority of Trinity Place Foundation by utilizing project management expertise to renew the TPFA project portfolio.

**KEY ACCOUNTABILITIES (INCLUDE BUT NOT LIMITED TO)**:
**Leadership**:

- Provide direction, leadership, and guidance to administrative and housekeeping teams.
- Monitor, evaluate, and coordinate support activities with teams and other stakeholders.
- Provide input on reliability centered maintenance & Preventative Maintenance program.
- Input & manage PM tasks & bylaw inspections in Yardi for TPFA facilities for compliance.
- Lead in maintenance of accurate records and reports required by legislation in accordance with recognized best practices.
- Lead in the preparation for audits, inspections, investigations, and surveys including but not limited to, the Alberta Accommodation Standards and HMB Operational Reviews.
- Collaborate with the Director in responding to Q&A and action planning, and implementing any required follow-up.

**Stakeholder Engagement**:

- Builds, fosters, and maintains relations with all TPFA Property Managers and staff
- Builds, fosters, and maintains relations with tenants, residents, their families and the public
- Act as a key point of contact with the Government of Alberta and pro-actively manage questions or concerns.
- Act as a key point of contact with the Government and Insurance adjusters for Accident, Loss, & damage claims (ALDR’s)

**Project Management**:

- Chair the startup meeting for each project once awarded and maintain open communication and dialog with all stakeholders where required.
- Prepare and submit the necessary Alberta Government approved forms to the Program Manager, Capital Maintenance and Renewal in Calgary to obtain formal approval from the Department of Seniors and Housing to complete approved CMR projects on TPFA provincially owned buildings.
- Ensure TPFA project number is attached to every project to allow collection of the %5 management fee that is available.
- Prepare project scope of work and tender documents for each approved project and where necessary, prepare a scope and tender to engage a consultant to advise on a project prior to tendering the project.
- Collaboratively engage the internal project stakeholders including Building Managers to incorporate ideas for project plans and priorities.
- Continuously assess and prioritize capital project needs.
- Lead on-going status and communication updates to appropriate project stakeholders.
- In conjunction with the project consultant, inspect projects on a regular basis to approve and process requests for progress payments and submit to seniors and housing for payment.

**Health and Safety**:

- Be a role model to promote safe work practices and behaviors for all employees and contractors.
- Ensure all employees and contractors adhere to the safety requirements and expectations for all buildings.
- Lead in the coordination and implementation of best practices and risk management activities related to employee safety.
- Participate in organizational OH&S program.

**Administration**:

- Post approved CMR projects on the Alberta Purchasing Centre website to inform potential bidders of TPFA project opportunities.
- Advise the Director of Finance when projects are complete, and all holdback funds are released so TPFA can invoice accordingly for the 5% management fees.
- Fill out & Start insurance claim (ALDR) process & lead the claim investigations for any ALDR claim
- During the project wrap-up phase for each project, inspect the work or receive confirmation from the consultant the holdback amount may be released.
- At the conclusion of each project, host a debriefing session to evaluate the project to look for opportunities for improvement.
- Conduct an annual review of all TPFA fire safety plans to ensure they all meet the current fire safety codes which are updated every 5 years.
- Respond to requests from Property Managers and Maintenance Techs during the year when situations develop that are causing health and safety issues and require a request for the department to fund an emergency CMR project.
- Manage Bylaw & other required yearly inspections for all TPFA buildings in Yardi.
- Prepare and update the annual TPFA Capital Replacement and Renewal submission to the department for all provincially owned buildings.
- In conjunction with the Director of Facilities tour all TPFA properties at least one per year to plan for future Capital Maintenance and renewal submissions.
