We are seeking an experienced **Project Coordinator for the Event Industry** for a full-time, permanent position within our team.

**What we do..**

We design and produce corporate and private events, fashion events, seasonal installations, window dressing for retailer shops, pop-up shops, public art installations, and live stage productions. We supply rentals for all types of events or promotional needs including weddings, corporate events, private functions, film/TV, and special events.

**Responsibilities**:
Assist Project Managers in preparing estimates, purchase orders, invoicing, change orders, subcontracts and revisions

Assist the PM with creation of event and/or fabrication schedules

Work with the technical department developing shop / production / install drawings as needed

Assist the project manager in quoting and tracking changes

Maintain project files, contracts and document administration

Maintain and monitor schedules, budgets, subcontracted items, etc

Arrange vendor and material deliveries for projects

Arrange logistics or installation needs / coordinate with inter-company departments

Assist with the physical preparation of each event

Work onsite during installations and dismantles

Ensure timely completion of assigned projects and client satisfaction

Schedule meetings, prepare presentations and oversee post mortems

**Preferred Qualifications/Required skills**

A Motivated person with a positive attitude.

Excellent written and verbal communication skills

Ability to work in a fast-paced and goal-oriented environment with very tight timelines

Ability to multitask and prioritize. Must have strong time management ability

Proficiency in office software (spreadsheets, word processors) and ability to learn new programs

Strong problem-solving skills

Detail-oriented and organized

Strong customer service skills

Post-secondary diploma/certification

1 to 3 years Project Coordinator experience in event / rental / production industries

Construction, Fabrication and installation experience an asset

An understanding of shop drawings an asset

AutoCAD, Rhino or Revit is an asset

Pay: $20.00-$35.00 per hour

Schedule:

- Day shift
- Holidays
- Monday to Friday
- Weekends as needed

**Experience**:

- Project management: 1 year (preferred)
- custom build: 1 year (preferred)
- event management: 1 year (preferred)
