Reporting to the Director, Client Services, the Workplace Services Project Manager, your will be responsible for overseeing the coordination of all labour services including execution of assigned projects related to commercial furniture and workplace services, project planning and implementation, labour coordination, team scheduling, equipment rental to ensure excellent service. This position is responsible for managing the labour services team, the project coordinators.

**Key Responsibilities**:
Together with sales, account management personnel or independently with existing clients, perform site visit for upcoming potential moves, decommissions and labour services to gather project information to evaluate client needs as they relate to the implementation of approved work to be performed and work with team to determine client driven and site-specific requirements as is necessary in order to deliver an exceptional client experience.

Communicate the scope of work, labour, equipment, and service requirements to the workplace team for quoting. Review service proposals for accuracy and issue to clients for approval.

Work closely with design team, sales, and installation team, as well as with customers, to ensure that plans and specifications utilized conform with the client’s requirements.

Oversee project activities, resources, equipment, and documentation to ensure timely completion of projects and excellent customer satisfaction. Ensure internal processes are followed.

Maintain clear understanding of the intricacies involved in contract furniture installations. Collaboratively and with the use of company specific calculation tools and resources, work to determine the labour and equipment requirements on a project-by-project basis to ensure smooth delivery of services and successful completion.

Perform site visits as required to verify site conditions, ensure health and safety protocols are established measure project progress and ensure project is on track for successful completion according to schedule, budget, and client satisfaction.

Strive for a high level of customer satisfaction while coordinating all project deliveries, installations, moves, and service calls.

Separate project deliverables into doable actions and set timeframes.

Oversee the set up all service appointments in a timely manner within the Workplace Services calendar to ensure clear communication and understanding of client deliverables by the Team.

In a hybrid work environment, complete morning dispatch meetings to ensure labour services team is clear in understanding of the day’s tasks.

Set up appointments with clients and vendors. Oversee the coordinate all aspects of service including hired labour.

Take calls from clients and answer questions regarding services to be provided and the timelines.

Coordination of move services by providing a move package to prepare the client for an upcoming move. Participates in project site walkthrough as required for post occupancy evaluation and deficiency list evaluations and assists with processing deficiencies.

Supports the workplace furniture and services team for all cost, schedule, quality, risk and scope related to planning, executing, monitoring, and closing project activities.

Act as the point of contact and communicate project status to all participants.

Prepare small proposals for hourly workplace service calls only as requested by clients.

Maintain the pre-established workplace services department productivity and quality standards with a focus on daily scheduling and work order preparation of both internal and external labour and equipment.

Coordinate with workplace services team and administrative staff to ensure orders are received, labelled, and stored as required.

Schedule the cleaning, organization, and decluttering of all warehouse spaces to ensure they are operating according to the monthly inspection report prepared by the Joint Health and Safety Committee

Schedule the maintenance of Service Vehicles and Delivery Trucks as per management’s direction. Oversee the completion of daily truck logs and ensure Whip Around vehicle inspection app is completed.

Schedule the weekly work to be completed by company Installers and outsourced labourers ensuring that the workloads are in accordance to the Ministry of Labour requirements regarding maximum hours of work.

Identify if existing department processes are no longer effective and suggest improvements to improve safety and efficiency.

Identify opportunities to improve paperwork and reports.

Maintain contact with Third Party Installation firms to ensure smooth implementation of Connect projects.

Is comfortable participating in presentations to clients and end users.

Maintains all project files/job folder according to department standards.

Organizes and files drawings and specifications to ensure they are current.
