**We are looking for an enthusiastic and hardworking full-time Veterinary Receptionist to join our team.**
Our clinic is a busy, fast paced environment with four veterinarians and multiple support staff. Excellent communication skills, computer skills, and the ability to multitask is required. Animal handling skills and knowledge of animal behavior would be beneficial.Description
A receptionist is a very important role in a veterinary hospital. Our receptionists are our first impression at our clinic; therefore, they must provide excellent communication and service to our clients. The main role of a receptionist is client communication, appointment scheduling, and money handling and invoicing.
Experience
Previous receptionist experience in either a veterinary facility or a medical facility required
Essential Duties/Responsibilities:Customer Service
- Provide top-notch customer service
- Professional appearance/attitude
- Attentive to all client and pet needs
- Understanding and working with clients in various emotional states, and working patiently with distressed, frustrated and disgruntle clients
- Answer and triage phone calls from clients. Answering phone messages in reasonable time.
- Client education
- Relaying important information to/from clients and doctors +/- management
- Understanding vaccines, basic lab tests, common diseases, and pet behavior
Appointments/Scheduling
- Scheduling appointments/procedures/surgeries appropriately.
- Starting new medical records for new clients and patients. Ensuring correct client and patient information in medical record. Updating client and patient information as needed.
- Admitting surgical patients with correct paperwork and history. Ensure phone number the client can be reached at that day in the case of an emergency
- Check in clients for appointments
- Monitor client flow from check-in to discharge. Bring patients and clients down to exam rooms, obtain correct history and information on files +/- vaccines.
- Cleaning exam rooms and maintaining flow of appointments
- Client call backs, reminder calls, and animal pick up calls
- Euthanasia compassion. Correct paperwork and payment complete and signed by owner.
- Care of patient remains. When ashes arrive, owners called for pick up, ashes wrapped nicely. Peartree prep, shipment, and processing
Payments & Money Handling:
- Processing payments
- Reconcile petty cash
- Bank deposits and getting change if needed
- End of day reports including daily deposits
- End of month reports and statements (SPCA, collections, delinquents).
- End of year reports
General Reception Area/Records
- Managing record requests between other hospitals
- Keep reception area stocked with proper office supplies. Order office supplies as needed.
- Proper filing. Ensuring correct files have been pulled for appropriate appointments and surgeries.
- Maintaining proper documentation in medical records
- Assist in keeping hospital clean. This is not limited to front reception area and exam rooms. A mess should never be ignored.
- Keep diet center stocked and rotate food appropriately checking expiry dates. Order food as needed
- Submit and monitor AVP order.
- Unpacking and putting away AVP order. Confirming order is correct. Missing items must be addressed that day. Totes stacked neatly; cardboard brought out to back shed. Reconcile AVP invoices and note PST except items.
Pharmacy
- Take orders for prescription refills obtaining the correct drug name, the current dose the owner is giving and the amount the owner is requesting. Confirm this dose with previous refill. Fill prescriptions and ensure double signed by an authorized team member before dispensed to owner.
- If prescription is a controlled drug must be dispensed by authorized staff. Take order and give information directly to an authorized team member to dispense prescription.
- Ensure stock of flea, tick, and deworming products. Monitor pharmacy stock and order if needed.
- Stock pharmacy pill vials, bottles, and dispensing envelopes
The above duties and responsibilities are not inclusive, as a member of the Westview Veterinary Hospital’s team you will be required to perform any duties requested by the manager for the best interest of the hospital.
Physical Requirements
- Standing 8 hours during the day
- Proper handling and restraint of patients when admitted or discharged from the hospital
Hours:
**Full time position**
Tuesday - Saturday shift
Hours: 8-hour work day with a 1-hour unpaid lunch
Variable shifts from 7:30am - 6:00pm
