**Main Purpose and Function**
The Planning Assistant III works in Arts, Culture & Tourism (ACT) in the Arts, Culture, & Community Services (ACCS) Department. This position provides technical and engagement support for cultural policy and planning within the Projects and Emerging Priorities team. This currently includes providing technical and engagement assistance for UNDRIP action groups related to cultural presence, as well as broader matters of cultural policy and planning such as work on Nighttime Economies.

**Specific Duties and Responsibilities**
- Researches, collects data and prepares analysis which forms the basis for decisions and recommendations.
- Conducts and compiles policy research to support the planning process.
- Assists with developing policy materials, presentations, memos and Council reports.
- Prepares graphics work for presentations, and web and other communication materials as needed.
- Supports collaboration with other City agencies to facilitate the delivery of UNDRIP actions and other cultural policy work.
- Organizes internal and external engagement, and supports consultation processes (booking venues, speakers, catering, and supplies; oversees graphic designs, material distribution to public, photography, and takes notes), including consultation meetings with rightsholders at the xʷməθkʷəy̓əm (Musqueam), Sḵwx̱wú7mesh (Squamish) and səlilwətaɬ (Tsleil-Waututh) Nations.
- Takes detailed minutes for meetings, facilitate and note take small group discussions, and draft summaries.
- Maintains and updates Sharepoint collaboration sites with relevant materials ahead of and after meetings.
- Processes invoices related to working groups and meetings.
- Provides general project management support including task management support and periodic progress reporting.
- Performs related technical planning work as required.
- Performs other related duties/responsibilities as assigned.

**Minimum Qualification Requirements**
Education and Experience:

- Completion of the Grade 12 or equivalent in technical or vocational school supplemented or including courses in communications, graphic design, data analysis and database management or related courses.
- Experience working with staff at Indigenous nations on matters related to planning or cultural presence is desirable.

Knowledge, Skills and Abilities:

- Sound knowledge of Indigenous planning practices, cultural humility and safety practices, and a strong cultural awareness of xʷməθkʷəy̓əm (Musqueam), Sḵwx̱wú7mesh (Squamish), and səlilwətaɬ (Tsleil-Waututh) Nations.
- Sound knowledge of drafting, layout work, report design and reproduction and of graphical presentation of statistical data and planning projects.
- Sound knowledge of the techniques and practices used in performing survey and statistical analyses work.
- Sound knowledge of equity-based planning principles and practices in engaging diverse equity-seeking communities.
- Sound knowledge of executing comprehensive public and stakeholder engagement processes;
- Ability to prepare strong verbal, written, graphical and visual presentations with experience assisting and drafting materials such as meeting agendas and summaries, council reports, and presentation decks.
- Ability to handle and update high volumes of materials with strong attention to detail.
- Ability to self-manage workload and meet time demands (e.g., prioritize tasks, communicate expected time frames for the delivery of items with staff and request assistance when needed, identify early when timelines should be adjusted and seek direction).
- Ability to work independently, collaboratively with teams, and with the public, to complete assignments using sound professional techniques and judgment.
- Ability to effectively communicate both verbally and written with strong interpersonal skills.
- Ability to perform sound research, analytic, reporting and evaluation work.
