Relevant du vice-président - Opérations RH et relations de travail, vous aurez à l’assister, ainsi que son équipe de direction, en assurant un soutien technique dans l’exécution de travaux à caractère administratif.

Vous vous réalisez dans les fonctions suivantes
- Gérer de façon proactive les différents agendas: tenir à jour le calendrier, procéder aux convocations de réunions statutaires et autres, planifier et coordonner des rencontres tant à l’interne qu’à l’externe ;
- Organiser, planifier et céduler les déplacements du VP et apporter un soutien aux équipes, au besoin ;
- Planifier, organiser et prendre en charge la logistique des rencontres des vice-présidents; participer à l’animation de segments d’ordre administratif et rédiger les comptes rendus ;
- Manipuler des documents et des dossiers confidentiels (ex. offres d’emplois et contrats de travail, conventions collectives, etc.);
- Réserver des salles de réunion et voir à l’organisation logistique de celles-ci (équipement, pauses-santé, repas, etc.). Au besoin, assurer la coordination avec l’équipe de gestion des événements ;
- Préparer les comptes de dépenses du VP dans le logiciel Workday et en assurer les suivis;
- Traiter la facturation, les bons de commande et faire les suivis dans le logiciel Workday ;
- Filtrer et prioriser la correspondance et les requêtes reçues, gérer les appels téléphoniques, rediriger au besoin;
- Participer activement à l’élaboration des présentations, des rapports et des communications;
- Réviser des documents de nature confidentielle et stratégique;
- Produire, éditer et coordonner des nouvelles ou événements sur la vitrine de la vice-présidence exécutive (Sharepoint) ;
- Réaliser l’ouverture des dossiers, assurer leur mise à jour électronique, faire le classement électronique des documents et voir au bon fonctionnement du système de classement en conformité avec les standards établis.

Vos talents et qualifications
- Diplôme d’étude collégial (DEC) en bureautique, secrétariat, baccalauréat ou tout autre domaine pertinent ou expérience équivalente.
- Minimum de cinq (5) années d’expérience de travail dans un poste similaire en soutien à un membre de la haute direction d’une entreprise;
- Réalisation concrètes démontrées dans l’utilisation d’outils informatiques tels que la suite Office (Outlook, Word, Excel, PowerPoint, OneNote, Teams et Sharepoint), la connaissance du logiciel Workday sera considérée comme un atout ;
- Aisance avec la manipulation des nouvelles technologies (vidéoconférence, téléphones intelligents, surfaces, etc.);
