We are seeking an experienced _**Plant Administrator**_ to join our team and support both manufacturing plants.
**What you will do**:
The Plant Administrator is responsible for managing the administrative functions for Custom Millwork Atlantic and CMA Building Systems. This role ensures the smooth operation of daily activities by providing support to the Operations Teams at both facilities. The Plant Administrator will handle various tasks, including, scheduling, record keeping, and communication with staff and suppliers. This position requires a people-forward mindset with strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
**Administrative Support**:
- Manage daily administrative tasks, including document management, filing, and handling correspondence.
- Coordinate meetings, prepare agendas, and take minutes.
- Coordinator service calls and any maintenance for equipment.
- Process invoices, track expenses and reconcile accounts.
- Print any shop drawings as directed by the team.
**Employee Support**:
- Coordinate new employees first day with HR team and be the first point of contact for on their first day?
- Maintain employee records, manage attendance records and submit time records to payroll.
- Serve as a point of contact between the plant and corporate office, including payroll, hr, accounting, and design departments.
- Facilitate communication between different departments within the plant.
- Field employee inquiries and complaints and communicate them to the Operations Manager.
- Organize social events and celebrations specific to the plant facilities.
**Scheduling and Coordination**:
- Coordinate production schedules, ensuring timely delivery of products.
- Communicate with suppliers and customers to manage orders and deliveries.
- Handle logistics for incoming and outgoing shipments.
- Manage inventory and identify discrepancies.
**Safety**:
- Maintain safety-related documentation.
- Assist in the formation and operation of the Health and Safety Committee.
- Develop meeting agendas, schedule meetings and ensure that minutes are recorded and distributed.
**Qualifications**:
- Certificate in Business Administration, or a related field is considered an asset.
- Proven experience in an administrative role, preferably in a manufacturing or production environment.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to work independently and as part of a team.
- Strong attention to detail and problem-solving skills.
**Physical Requirements**:
- Ability to sit, stand, and walk for extended periods.
- Occasionally lift and move items up to 25 pounds.
- Work in a manufacturing environment with exposure to moving machinery and noise.
