**Position Summary**:
As part of the Office of the President and reporting to the Manager, Events & Special Initiatives, the Event Coordinator provides leadership in the planning, coordination and evaluation of events at Seneca with a mandate to increase community engagement, promote Seneca’s brand and make students part of all events. The incumbent is the main point of contact for all events at Seneca, liaising with internal and external clients to ensure that the events being held are of high quality and meet both the clients’ objectives and Seneca’s strategic goals.

**Responsibilities**:
**Brand Development & Community Engagement**
- Consults with clients to gather objectives and determine priorities and opportunities.
- Recommends project budgets and critical paths.
- Takes a lead role on Seneca-wide events such as convocation and orientation, ensuring a team approach with other departments.
- Develops agreements with external clients to ensure Seneca policies and procedures are adhered to.
- Ensures a student component to all internal events, soliciting student hired help and/or volunteers through academic and service areas.

**Event Strategies, Coordination & Implementation**
- Evaluates event proposals to determine associate costs, outcomes and return on investment.
- Prepares budgetary recommendations, monitoring, verifying and reconciling expenditures of budgeted funds.
- Researches relevant issues and materials required for event implementation.
- Develops and/or advises clients of effective programming.
- Manages internal/external suppliers and service providers to ensure proper implementation of event logistics including facilities, food preparation, audio video equipment, lighting, security, custodial, etc.

**Communication**
- Develops detailed event briefs for director, supervisor and the President to inform of upcoming events, and high-level briefs for Senior Executives and Board of Governors.
- Advises clients on protocol for event coordination.
- Works closely with Marketing and Communications to secure media coverage and to produce invitations, agendas or additional communication pieces required by the client.
- Oversees and coordinates Seneca-wide events calendar management system.
- Responds to enquiries from clients across Seneca.

**Qualifications**:
**Education**

A minimum completed three (3) year diploma/degree in Corporate Communications, Event Planning/Management, Marketing or Public Affairs.

**Experience**
- A minimum of five (5) years’ experience in event planning or project management.
- Experience working within post-secondary or corporate event space is an asset.

**Skills**
- Superb communication, negotiation and client relations skills, with the ability to foster relationships with a diverse group of employees varying in background and seniority.
- Excellent organization skills with strong attention and the ability to adapt to change and work under pressure.
- Strong budget management skills.
- Proficiency with PC operating system, Excel, PowerPoint and other presentation software, and social media.
- Creative and collaborative mindset, with a willingness to think outside of the box.

- A skills assessment test will be administered during the recruitment process.
- A valid driver’s license and access to a reliable vehicle are required for this position.

A combination of relevant experience and education may be considered as equivalent to the above requirements in the event that there are no internal applicants that meet the qualifications as posted. Equivalency will be assessed by the talent acquisition team.
