The Technical Services Administrator is responsible for planning and coordination activities related to Depot and Field Operations in Canada.
- ** Contract Management**
- Enter Technical Services Agreements information into the company database and maintain the electronic and paper files to ensure completeness, accuracy, and relevant archiving for future and convenient reference
- Support and engage in RFP processes and external and internal requests for price quotations, conducting all necessary analyses to meet company financial and service objectives and customer required specifications
- Service Contracts Quote & Billing
- Extended Warranty Billing at month end.
- Fee For Service/On Demand billing.
- Setting up contract’s schedules in JDE for service contracts, rental, demo/eval, extended warranties and any assigned product categories.
- Technical Training Quoting and Billing. Maintaining any onsite training calendar
- Working with Training Specialists on scheduling training for customers.
- Accurate monthly reporting on Billing & Quoting
- Conduct on-going research to consistently demonstrate ability to respond to external and internal customer questions on individual contracts, company offerings, warranties, execution date, progress reports (e.g. asset management, preventative maintenance, repair response time, customer satisfaction scores, etc.) and other related company information
- Participate in sales meetings and provide updates on observations, leads, competitive offerings, and market trends
- Monitor, evaluate, and report on competitor activities and make recommendations based on findings and opportunities discovered
- Develop ad hoc customer specific service reports to detail historical service needs of the customer and status of their current asset base.
- Registration & payment from customers for training schools, setting up training school, coordinating trainers and collating material for technical training under guidance from leadership.
- Accurately enter in JDE and maintain preventive maintenance & periodic inspection records provided by field service technicians.
- Follow up with customers on overdue service contract invoices and escalate to collections as necessary.
- Summarize Service Contract opportunities in various province and provide to the associated regional sales rep.
- Liaise with various departments to ensure awareness of the incentives and promotions being offered
- Maintain a high level of product and service knowledge, escalating enquiries, as necessary
- Prepare a wide variety of legal documents, RFP responses, price quotations, tracking records, and associated internal and external correspondence
- Maintain a high level of service to customers, manage the customer relationships from contract execution through delivery to after-sales service, and distribute referrals from customers to the appropriate salesperson
- Estimate or quote prices, credit or contract terms, warranties, and delivery dates
- Present a positive and professional image of the organization when interacting with employees, clients/customers, visitors, and other external stakeholders
- Conduct all training requirements as designated and exemplify a continuous improvement and learning culture for self and others
- Conduct all work activities in a safe manner and promote safety for self and colleagues
- Other duties and responsibility as assigned

**Rental Fleet Management**
- Process rental device for customers
- Maintain device tracker by ensuring up-to-date information for all assets
- Process billings for on time revenue capture

**Vendor Management**
- Initiating annual and/or on demand POs for approved suppliers
- Performing receipts of the invoices in a timely manner
- Designs and develops project plans to implement new policies, programs and initiatives, and operating processes of strategic significance at the depot and field.
