Sales Assistant

This growing highly diversified medium size company manufactures commodity and value-added wood products at plants on Vancouver Island and in the BC Interior; operates a dynamic wholesale business; manages a sales group that markets wood products around the world. We also operate an expanding trucking business.
This newly created position will report to the Finance Team and work hand in hand with a lumber trader based in China. This position requires communicating with our international and domestic traders, working with terminals, managing inventory, timely preparation of export documents packages, and related functions. The sales assistant will also do some invoicing and plays a key role in the accounting function using our state of the art ERP system. The successful individual will be detail oriented, organized and able to manage multiple tasks. This position will support the sales team with coordination of international shipments, timing, notifications and reports. Being able to communicate in Chinese is an asset.
**Responsibilities**:
- Track and process orders through our invoicing system and process invoices
- Track shipments to and from foreign and domestic locations
- Work with suppliers and customers, customs brokers, reloads and freight forwarders to clear queries.
- Produce and distribute reports
- Compile all information pertaining to sales orders and prepare for billing
- Reconcile inventory
- Assist sales and finance teams with other tasks and duties
**Skills & Qualifications**:
- 2+ years’ experience in high volume billing/invoicing or finance/accounting experience.
- Proficiency in Microsoft Products
- Accountable - Takes ownership of personal workload, manages tasks and set priorities based on business needs.
- Attention to Detail - Attends to details and pursues quality in the accomplishment of tasks, regardless of the volume of duties encountered.
- Time Management - Balances a myriad of tasks; prioritizes duties as needed
- Communication - Ability to effectively communicate both verbally and in writing in English
- Teamwork - Positive self-starter with the ability to work individually as well as part of a team but can also self-manage and work independently
- Flexible - Ability to be agile and change priorities as needed
- Strong computer skills - Required to work in a complex computer systems environment
