We are looking for an Administrative Assistant to join our Finance team at our Head Office located in East York.

- Prepare, format and/or edit correspondences and presentations
- Screen and handle all inquiries and correspondences, including audit and information requests
- Arrange meetings, meals, travel, accommodation and events
- Compile budget, monthly, quarterly financial reports, Scorecard and Certification of Results for Boards of Directors, Finance Committee and Senior Management
- Maintain lease and contract tracking systems
- Run reports for pro-forma Board presentations
- Maintain policy and procedure documents relating to Finance, Purchasing and IT
- Manage the reporting of expenses, sick time, and vacation
- Coordinate approval and submission of invoices to be paid
- Oversee purchases for Finance, and IT
- Offer support to the CFO, Directors and Managers on special projects
- Assist with other corporate administration, as required
- Oversee the vehicle fleet including purchases, sales, registrations, and associated 407/ETR accounts including transponders
- Direct waste disposal at all sites, including licence renewals and payment of manifest fees
- Responsible for credit cards, petty cash and banking authorizations
- Manage expired, declined and returned credit cards from customers
- Manage insurance annual renewals, claims and reporting
- Serve as the primary contact person for records retention for the Finance & Corporate Financial Services teams
- Other sundry duties as assigned

**Hours/Days of Work**:

- 37.5 hours per week - Monday to Friday
- Occasional overtime may be required due to business needs

**Qualifications**:

- At least a three year college/diploma or higher in accounting and/or other related disciplines; or equivalent combination of work experience, training and education
- At least three years of previous experience in a similar role
- Strong interpersonal skills to allow for the ability to build effective relationships within own team and with key stakeholders
- Excellent priority setting, analytical and problem solving skills.
- Sound knowledge of compliance regulations for organizations working within the not-for-profit sector
- Knowledge of Financial and ERP systems.
- Intermediate proficiency of Windows and MS Excel, Word, and Outlook
