**Position Summary**:
Are you skilled in project management, event coordination, and providing top-notch administrative support? If so, we’d love to hear from you The Office of Applied Research and Graduate Studies (OARGS) at JIBC is seeking an Administrative Coordinator who can bring strong organizational skills, attention to detail, and a passion for facilitating impactful research and innovation.
In this role, you will work closely with the Dean to manage the daily operations of OARGS, which includes supporting the JIBC Research Ethics Board (REB) and the three key divisions under OARGS: the Centre for Research, Innovation & Scholarship (CRIS), the Centre for Teaching, Learning & Innovation (CTLI), and the Centre for Liberal & Graduate Studies (CLGS). Your work will focus on streamlining processes, supporting research projects, and managing the administration of these areas. While your responsibilities will primarily focus on CRIS, you will also provide varying levels of support to CLGS and CTLI.
Your role will also involve event management, where you’ll oversee strategic planning, coordination, and execution of events like the annual Applied Research Day. You'll be responsible for everything from budget tracking and communications to logístical support and post-event reporting. Additionally, you will support office management tasks, such as onboarding new staff, managing office supplies, processing invoices, and handling travel arrangements for the Dean and the team.

You’ll need a high level of professionalism, confidentiality, and the ability to manage multiple priorities, all while contributing to the ongoing success of research initiatives at JIBC.

**Qualifications & Requirements**:
- A bachelor’s degree from a recognized post-secondary institution plus five (5) years related office management experience or an equivalent combination of training, education and experience;
- Completion of a Certificate in Research Administration or equivalent is required
- Proficiency in the operation of Microsoft Office© Office Suite (Word, Excel, PowerPoint, Outlook), spreadsheet and database software, Unit 4, graphic software and Internet browsers;
- Minimum of five years’ experience in office administration which includes basic accounting and intermediate Excel skills;
- Experience with event planning and organizing;
- Experience in a project-based environment, such as research project, curriculum development project, and/or contract-based training and education projects;
- Basic knowledge of accounting principles;
- Basic understanding of the research lifecycle and funding environment;
- Proven ability to work effectively and independently in a high pressure environment;
- Superior organizational ability to administer and support complex projects and function productively in an intensive multi-tasked work environment with short time lines or prescribed deadlines;
- Ability to process work with a high degree of detail, accuracy and comprehend instructions; strong attention to detail;
- Excellent interpersonal skills, and demonstrated ability to build and maintain internal and external relationships, work in a team environment and build rapport and trust.;
- Ability to exercise good judgment and deal with highly confidential matters;
- Proven ability to work effectively and independently in a high pressure environment;
- Proven ability in identifying issues, problem solving, obtaining consensus and establishing and maintaining effective working relationships with a variety of internal and external contacts;
- Skilled at establishing and managing tracking processes and structures.
