**SUMMARY**

The Operations Coordinator, working closely with the Director of Investigations and Intelligence, will play a pivotal and central role by offering comprehensive administrative support to the investigations department. This support extends to the Director, CEO, Investigators, and other auxiliary staff, such as report writers.

Further, the Operations Coordinator will collaborate external Clients and partners to coordinate work efforts and ensure investigations are completed within the required time frames achieving high levels of client satisfaction.

This will be accomplished by following operating procedures, organizing multiple priorities and provide high levels of support to clients and investigators.

**Job Duties**
- Monitor investigations shared mailbox, action/delegate inquiries as needed.
- Participate in meetings with the Director of Investigations and Intelligence and clients regarding new files or updates on existing files.
- Create and distribute letters of engagement as well as coordinate retainer payments with clients.
- Maintain contact with client providing updates on investigative files.
- Open new investigative files in the case management system and assign investigators.
- Maintain the case management system with the most up to date information (i.e. client profiles, staff profiles, price lists, expenses and general settings)
- Review and approve contractor and vendors invoices for payment, input the expenses into the case management system when needed.
- Prepare and draft investigation invoices for all investigative files.
- Review all investigation and business development expenses by-weekly.
- Complete locates when time permits.
- Provide assistance and guidance to investigators, addressing any inquiries or challenges they encounter.
- Create monthly intake reports for the business development team.
- Ensure seamless operations by stepping in to cover for the Admin & HR Coordinator during their absence.

**REQUIREMENTS**

**Education/Experience**
- 5-7 years of administrative experience
- University or College education: Criminology, Police Foundations, Business Admin or Project Management preferred
- High level of comfort and proficiency in basic mathematical concepts
- High level of comfort and proficiency with technology (i.e. Microsoft)

**Working Conditions**
- Hybrid: 3 days in office and 2 days remote
- Ability to work a flexible schedule that includes evenings and weekends as required
- Ability to work independently and as part of a team
- Capacity to attend and conduct meetings, both virtual and in person

**Job Types**: Full-time, Permanent

Pay: $40,000.00-$60,000.00 per year

Schedule:

- Day shift
- Monday to Friday

**Education**:

- DCS / DEC (preferred)

**Experience**:

- Administrative: 5 years (preferred)
