Job Description: Parish Administrator

**Confers with**:Parish ministry leaders, volunteers andall people who call or walk through the door

Purpose of Position

The Parish Administrator will ensure the efficient administration of the parish office, assisting the Incumbent and Churchwardens and other clergy and staff in parish administration and be responsible for the accurate accounting and reception of parish income and expenditures. All activities associated with this position must be achieved in a manner consistent with the Parish Mission Statement, Goals and Objectives. All diocesan and parish policies and practices must be known and adhered to particularly the Diocese of Toronto’s Sexual Misconduct and Screening Policies.

Focus of Responsibility

Other Major Responsibilities
- Assist the clergy and other staff with typing, photocopying, mailing and other administrative needs such as appointments, filing, and letters.
- Handle all incoming mail and respond to mail as necessary.
- Print and prepare letters and envelopes for parish mailings.
- Maintain adequate inventory of regular and seasonal office supplies.
- Assist parish groups in ordering and receiving materials.
- Assist in the collection and typing of reports for the annual report.
- Update online church calendar with all events and parish activities.
- Attend meetings of staff, Wardens or Advisory Board, as requested.
- Maintain a neat and welcoming parish office.
- Create and produce the weekly Sunday worship bulletins and all special worship services as requested.
- Coordinate all folding and collating of Sunday worship bulletins with volunteers.
- Periodically train volunteers in the use of appropriate office equipment and procedures.
- Maintain an up to date parish list, calendar and service schedule
- Create and maintain parish Ministry Team schedules.
- Keep an accurate database and desk file of parish list.
- Maintain and update Food Cupboard client list.
- Input and update donation information weekly, and produce reports as requested.
- Assist parish volunteers with the creation and reproduction of parish communications materials, including the Annual Return for Vestry.
- Post bulletin board materials and keep the board neat and up to date.
- Update parish website and social media posts, as needed.
- Maintain a record of the allocation/rental of all parish facilities and associated license agreements under the direction of the Churchwardens.
- Maintain parish Screening in Faith records, schedules and forms. Communicate needs for checks and workshops to the Priest-in-Charge. Collect information and send forms for police checks to relevant agency.
- Reproduce and mail certificates and other documents as needed.
- Be responsible for the office budget which has been approved by the Vestry for all necessary office administrative expenses.
- Order and receive office supplies, as needed.
- Coordinate maintenance of office equipment, as needed.
- Regularly back-up computer files for archival storage.
- Regularly update computer software and make recommendations for upgrades, as needed.
- Perform year-end related bookkeeping functions including completing the parochial return.
- Issue receipts for donations and memorials.

**Job Types**: Part-time, Permanent
Part-time hours: 20 per week

**Salary**: $19.00-$20.00 per hour

Schedule:

- Monday to Friday

**Education**:

- Secondary School (preferred)

**Experience**:

- Front desk: 2 years (required)
- Administrative experience: 2 years (required)
