**About Us**

WHGH is a small, rural acute care hospital which provides basic hospital and health care services.
WHGH is located in the beautiful town of Hagersville, ON and is a scenic half hour drive to Simcoe, Brantford and Hamilton. NGH, located in Simcoe, ON is less than one hour away from most major centers, including Brantford, Hamilton and London and is a full-service, medium-sized community hospital providing a comprehensive range of medical, surgical, diagnostic and ambulatory care services.

While the position will work primarily from the WHGH site, the role will also require work from the NGH site on a regular basis.

Additionally, the individual establishes and maintains positive professional communications with the
Medical Staff, Administration, all hospital departments and related health agencies.

**KEY RESPONSIBILITIES**

Reporting directly to the President & CEO the Executive Assistant manages the day-to-day activities of the Chief of Staff office and provides executive support in a one-on-one working relationship.
Key activities include:

- Consistently supports and communicates the Mission, Vision and Values of WHGH and NGH.
- Provides proactive calendar management of extremely active calendars for the Chief of Staff and President & CEO
- Provides administrative support to the President & CEO at the WHGH site
- Coordinates the credentialing process for new professional staff members and the annual reappointment process of the professional staff at both sites
- Coordinates agendas, and dispatches meeting invitations and agendas, books meeting rooms and arranges for resources and other requirements in support of smooth and efficient meeting facilitation
- Receives, routes and responds to correspondence
- Provides administrative support for two Medical Advisory Committees (MAC) and various MAC sub-committees as required including preparation of meeting packages and minutes, coordinating room bookings, preparation of reports.
- In collaboration with the Chief of Staff schedules monthly Grand Rounds.
- Manages phone calls, and prioritizes phone messages and mail and handles all phone calls/inquiries with grace and professionalism.
- Serves as gatekeeper and liaison to the President & CEO and as such will oversee access to the President & CEO’s time and office - in coordination with the Executive Assistant/Coordinator Board Affairs
- Understands the complexities of the Chief of Staff’s environment internally and externally and will be able to respond or support the Chief of Staff as necessary given a range of potentially challenging and sensitive situations.

Prepares draft briefing notes, presentations and other documents. Provides back up support to the Executive Assistant/Coordinator Board Affairs in regard to board meetings and committee meetings.

**QUALIFICATIONS/EDUCATION AND SKILLS**

1. Minimum of five (5) years of experience at a senior administrative level in a healthcare environment or providing support at an executive level

2. Exceptional organization and time management skills in a fast-paced environment
3. Strong analytical and problem-solving skills, with attention to detail
4. Ability to exercise professional judgment and be highly resourceful
5. Outstanding ability to multi-task and collaborate effectively
6. Exemplary interpersonal and communication skills both verbal and written
7. Demonstrate excellence in drafting communications, documents and presentations
8. Ability to flex hours
9. Advanced knowledge of Microsoft Office Suite - MS Outlook, MS Word, MS Excel, MS PowerPoint
10. Current drivers license and vehicle
11. Ability to remain highly motivated, resilient, innovative, and collaborative
12. Ability to deal with sensitive and confidential materials with a high degree of tact, diplomacy and discretion.
13. Highly resourceful team player who can work effectively and independently.
